The Part Time Administrative Receptionist at BMW Durham serves as the first point of contact for customers and visitors at the dealership. This roles is responsible for managing the receptionist desk, answering and directing calls, handling customer inquiries, and supporting administrative tasks, including licencing, to ensure efficient daily operations.
Key Responsibilities
Duties include but are not limited to the following:
Greeting customers and visitors in a welcoming, professional and courteous manner
Answer and route incoming phone calls to appropriate departments
Ensure clients are directed to appropriate Department and Staff Members
Respond to general inquiries about services offered, hours of operation, and directions
Process incoming mail and outgoing mail and deliveries
Inputting customer information into excel spreadsheet as required
Maintain knowledge of basic dealership information to help all clients while visiting the Dealership
Handling customer inquiries and complaints with integrity and poise
Maintain the housekeeping of customer lounge
Enter and update client information and traffic record counts into dealership database
Handle basic clerical duties
Assist with preparing and submitting vehicle title and registration documents
Prepare temporary plates and registration documents as required
Maintain a positive working relationship with team members and management in a team environment
Qualifications
High School Diploma or equivalent
Administrative or Automotive related training is an asset
Previous experience in a receptionist or licencing clerk role (preferably in the automotive industry)
Familiarity with motor vehicle licencing and registration processes
Proficient in Microsoft Office and dealership management software (CDK preferably)
Ability to handle sensitive and confidential information professionally
Must be able to work a variety of shifts totalling at minimum 20 hours, between Monday through to Friday 8:00 am - 9:00 pm and Saturdays 8 am - 6 pm
