. We are looking for an
experienced Parts Coordinator
who understands that strong parts control is the backbone of a high-performing maintenance operation.
This role is critical to
building the parts department from the ground up
--clean systems, accurate inventory, reliable vendors, and zero chaos.
The Role
The Parts Coordinator is responsible for the
end-to-end management of parts and inventory
for our tractor and trailer fleet. You will work closely with the Maintenance Manager and mechanics to ensure the
right parts are available at the right time
, while controlling cost, accuracy, and efficiency.
This is
not a clerical role
. It is a
hands-on, operational position
for someone who wants ownership and takes pride in building strong systems.
In addition,
South West Bulk Express will be launching third-party parts sales in the coming year
, and this role will help support the setup of those processes alongside fleet operations.
What You'll Own
Building and organizing the parts department in the new Calgary maintenance facility
Managing parts procurement, inventory levels, and availability for tractors and trailers
Establishing vendor relationships, pricing structures, and warranty processes
Maintaining accurate inventory records in the maintenance/parts system
Issuing parts to mechanics and tracking usage correctly
Preventing overstock, shortages, obsolete parts, and emergency purchases
Supporting preventive maintenance planning through accurate parts forecasting
Keeping the parts area clean, organized, and efficient at all times
Supporting the setup of
third-party parts sales processes
, inventory tracking, and controls
Assisting with the
hiring, onboarding, and support of junior Parts Coordinators and future parts roles
Identifying and fixing gaps in parts processes before they become problems
1-Month Success Plan
Within the first 30 days, you will:
Set up organized parts storage and labeling systems
Validate and clean up inventory accuracy in the system
Establish reliable vendor relationships and improve pricing
Align parts availability with PM schedules and repair planning
Reduce delays caused by missing or incorrect parts
12-Month Success Plan
By the end of the first year, you will:
Maintain high inventory accuracy and strong parts availability
Significantly reduce emergency and rush parts purchases
Improve mechanic efficiency through proper parts readiness
Demonstrate strong cost control and reduced waste
Help support a
scalable parts operation
, including third-party sales
Play a key role in training and supporting
junior Parts Coordinators
Be positioned for advancement as
new South West locations open
Who We Want
Minimum 2 years of parts experience
in a heavy-duty truck, trailer, automotive, or fleet environment
Strong knowledge of parts sourcing, inventory control, and vendor management
Highly organized, detail-driven, and accountable
Comfortable working independently and helping lead others
