902 888 2234 | stmarystjohnanglican@gmail.com | www.stmaryandstjohn.com THE PARISH The Anglican Parish of St. Mary & St. John is a member parish of the Diocese of Nova Scotia & Prince Edward Island in the Anglican Church of Canada. We are two churches in the Summerside area (St. Mary\xe2\x80\x99s in downtown Summerside and St. John\xe2\x80\x99s in St. Eleanors) that function as one body (parish) to provide Christian worship and programming in the Anglican tradition. THE POSITION We are looking for an individual to fill the important role of Parish Administrator. The Parish Administrator works in and manages our Parish office in downtown Summerside to support the staff and volunteers, congregation, and committees in order to support the ministries and mission of the Parish. The work includes, but is not limited to, producing weekly bulletins for Sunday worship, handling parish communications, answering the phone and responding to inquiries, facility bookings, certain aspects of finance and accounting, planning, and scheduling. The Parish Administrator works closely with the Parish Priest (Rector) and Parish Council on many of these tasks. They will be a resource person for both members and non-members of the parish, and a friendly and welcoming presence in our church office. An ideal candidate will be highly organized, friendly, technologically capable, and collaborative. Though not a requirement, familiarity with Christian worship, terminology, and an understanding of the Church\xe2\x80\x99s mission and purpose is an asset. QUALIFICATIONS Past secretarial experience an asset but not required, but we expect the new Parish Administrator to have: 1. Strong organizational, writing and grammar, and proofreading skills.
2. A friendly and welcoming demeanour as the often first point of contact between the public and the parish, and able to work with volunteers, visitors, tradespeople, etc.
3. Experience and proficiency in Microsoft Office and document layout; email; social media management and website management/updating a major asset.
4. Ability to maintain confidentiality at times
5. General accounting experience (next page) Duties & Responsibilities Administration 1. Provide a welcoming and helpful presence in the office.
2. Provide administrative support to the Rector (Parish Priest), Parish Councils, and other committees and ministries in the parish (e.g. communications, making copies, providing documents for meetings)
3. Interacting with Treasurer, bookkeeper, and auditor (end of year) to: Ensure rental invoices have been paid, accept donations (cheque, cash, e-transfer), make deposits to appropriate accounts.
4. Managing the Office: Maintaining the filing system in-office and on computers, ordering supplies for the office and as required for other parish activities, responding to requests via email, telephone, and in-person visits. COMMUNICATION 1. Maintain a functional system of communication within the Parish, including: a. Internal: answering the office phone; producing weekly bulletins and event updates; updating signs, bulletin boards; special mailings to parishioners
External: Help manage the Parish\xe2\x80\x99s online presence (website, FB, IG, advertising) as directed. b. Communicate to relevant people (such as custodian) events scheduled in the facilities c. Arrange roster of volunteers for various roles (Sunday readers; office volunteers, etc) d. Coordinates and prepares the Annual Report in February each year. *This description is not intended to include all responsibilities, as additional duties may be assigned and existing duties may be adjusted at any time. HOURS

  • 15 hours per week
  • July & August office hours to be negotiated.
  • 6 hours per year will be used to attend and take minutes at the Annual Parish Meetings.
REMUNERATION
  • The position is part time, hourly wages are calculated and paid bi-weekly.
  • The Parish Administrator receives 4% vacation pay as per Parish Council Policy
  • $15/hour depending on experience
START DATE No later than early September, though negotiable. Position will include a week of mentorship and training by our retiring Parish Administrator. Job Type: Part-time
