Operating 24 hours a day, 365 days a year, our members safely manage over $500 million worth of cargo every day, comprising of 16% of Canada\xe2\x80\x99s total traded goods annually. Purpose: The BCMEA is recruiting for an Operations Support Coordinator within the Training, Safety & Recruitment department to support the operations of the department\xe2\x80\x99s recruitment and training efforts. This role is expected to regularly analyze the existing systems for continuous improvement to create efficiencies. Responsibilities and Activities:Ratings
Update longshore training records (\xe2\x80\x9cratings\xe2\x80\x9d) and capabilities in a timely manner
Data entry for all department related documentation and timely closing of records
Prepare correspondence, reports, and other documents
Payroll
Process and submit payroll data to ADP for Longshore trainers and trainees
Enter data into custom software
Schedule and track training programs
Vetting
Analyze necessary data in Excel to determine the appropriate status for required employees
Lookup and share time sensitive, required data within Excel for employees upon request
Learn and understand the meaning, usage, and importance of vetting columns used to determine an employee\xe2\x80\x99s status
Administration
Digitize training records and coordinate the transition hard copies to external storage facility
Process reimbursements for Occupational First Aid, caulk boots and tools
Issue port passes during annual recruitment
Provide claims support with correspondence to WorkSafe BC
Respond to telephone inquiries, collect and distribute mail, schedule meetings, and provide back-up support to administrative staff within the organization, as required
Assist with the operations, coordination, and logistical efforts of special projects, as required
Knowledge, Skills & Abilities:
Bachelor of Commerce / Arts or similar degree in a related field preferred
Minimum 1-2 year of work-related office or administrative experience preferred
A critical thinker, ability to discern and resolve issues
Self-starter with excellent verbal and written communication skills
Capable of working independently with minimal supervision and collaboratively as a member of a team
Proficient with Microsoft 365 suite of products, particularly Excel
Strong organization skills and attention to detail; ability to multitask and adapt to change
Superior time management skills and ability to prioritize and meet deadlines
