The Opportunity
Our Supply Chain team is expanding! We are looking for an
Operations Support Assistant
to provide essential administrative and operational support to ensure the smooth running of daily activities within our pantry supply chain operations. The "Pantry" operations are accountable for procurement of food products and infrastructure elements, storage of food products, deliveries to schools, school menu development (in partnership with the Student Nutrition Program function and coordinators within TFSS) and all associated supply chain planning elements. Reporting to the Associate Director, Procurement this new role will support the entire Team in a very dynamic, collaborative and rapidly expanding environment.
The ideal candidate is organized, detail-oriented, with excellent communication skills and the ability to thrive in a fast-paced environment going through significant transformation and growth. As part of a relatively small team, this role will also be expected to act as an occasional back-up for other roles in the team.
Duties and Responsibilities:
Support day-to-day operational activities, such as coordinating deliveries, communicating with vendors and partners, and assisting with project logistics to help ensure smooth execution of department initiatives.
Ensure efficient and smooth communications within the department relating to both internal and external stakeholders.
Provide general administrative support to the department, including - organizing files, updating internal databases, and assisting with document management to ensure accurate record-keeping and compliance with internal procedures.
Coordinate calendars, schedule meetings, and organize related logistics matters.
Prepare confidential correspondence, letters, memos, meeting agendas, spreadsheets, reports, and PowerPoint presentations, ensuring accuracy and professionalism. Prepare the Pantry Supply Chain dashboard according to the agreed cadence of reporting.
Assist with invoicing and reconciliation, including processing purchase orders, vendor invoices, and payment tracking.
Assist with resolving billing and payment issues, following up with vendors, finance, and internal teams to ensure timely and accurate processing of invoices and reconciliations.
Enter and maintain accurate data in the Common Data Source (CDS) System and other tracking systems, ensuring timely and complete reporting.
Support inventory management activities by entering data, reconciling deliveries, and tracking outstanding shipments and receipts.
Coordinate ordering and delivery schedules in collaboration with warehouse, supplier, and program teams.
Participate in departmental meetings, planning sessions, and process improvement initiatives.
Perform other administrative and operational tasks as assigned.
Education, Skills and Requirements
Post-secondary education in Business Administration, Supply Chain or a related field.
Minimum 2 years of experience in an administrative support role in a similar environment. A combination of education and experience will be considered.
Strong proficiency in other Microsoft 365 applications, with a strong focus on Excel.
Strong organizational skills with attention to detail, accuracy, and follow-through.
Excellent written and verbal communication skills.
Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
Knowledge of basic accounting, invoicing, and reconciliation processes is an asset.
Experience working in a non-profit or community-based organization is considered an asset

The work hours are Monday to Friday, 35 hours per week.
