Purpose of the position
To process routine to moderately complex transactions, including all related activities to import/export operations for both air and ocean modes. Perform duties related to document preparation and traffic coordination with specialty knowledge around Pharmaceuticals. Perform all duties correctly, cost-efficiently, within Company standards, and under the direct supervision of the Department Supervisor/Manager.
Key Tasks

  • Receive, review, and process documentation from DSV worldwide offices/agents.
  • Confirm terms/acceptance of shipping with freight payer.
  • Communicate with worldwide offices/agents regarding proper documentation for imports and exports.
  • Work with DSV brokerage department and outside brokerage firms to obtain Customs release and other government agency releases as appropriate.
  • Process delivery of cargo, invoicing client/brokerage team, updating tracking system and collection of receivables within defined Company time frames.
  • Coordinate the release of goods from the carrier, Customs, or other governmental agency examinations that may be required.
  • Provide customer with pre-alert and daily updates on status of their shipment (track and trace, My DSV) and referring them to a higher-level authority when questions are beyond scope of responsibility
  • Adhere to all domestic and international shipping regulations.
  • Advise department Supervisor/Manager of any transaction problems or irregularities.
  • Adhere to all company policies, procedures, and guidelines, such as the Code of Conduct, assigned work schedules, and attendance requirements.
  • Issue insurance certificates (if applicable)
  • Follow SOP for handling instruction
  • Report any cargo damages and prepare preliminary claim to all parties involved
  • Ensure KPI requirements are followed (billing, data quality, mandatory fields, auto-rating,etc)
  • Approve subcontractor invoices
  • Ensure all cost accrual are accurate
  • Perform other duties, as assigned.
Pharmaceutical:
  • Ensure all shipments within control are compliant with the current Pharmaceutical & Healthcare Policy and the PharmaQMS, as well as the Divisional Pharmaceutical & Healthcare Services Catalogue (Services Catalogue)
  • Ensure prompt issue resolution and optimal consulting and support in respect of storage, handling and transportation
  • Manage all locally controlled pharmaceutical and healthcare business partners and coordinate necessary training or qualification needs
  • Ensure the lane characterisation, business partners, are completed within Validaide
  • Handle (Pharma) shipments of key accounts and demonstrate operational excellence in doing so
  • Support team members and provide guidance for operational processes, issues, documentation and compliance and act as first contact point of Pharma related escalation needs
  • Assist Sales in compiling quotes (provide rates, tariffs, etc.) and account implementation, ensuring a smooth transition from Sales to Operations.

Educational background / Work experience
  • 3+ years relevant industry experience
  • College courses in supply chain logistics, international transportation, or a related field of study, an asset
  • Pharmaceutical certification, Pharma QMS, an asset
  • CIFFA certification, an asset
Language Skills
  • Fluent in French and English (written and spoken)
  • Other local language (as required)
Computer Literacy
  • Proficient with MS Office applications
