Position Summary
We are seeking a proactive and organized Operations & Marketing Coordinator to manage daily operations, reception duties, and light marketing support. This role combines administrative excellence with creative contribution, ideal for someone who enjoys both structure and design.
The ideal candidate is detail-oriented, dependable, and comfortable using technology to keep the clinic running smoothly while helping grow our brand presence.
Key Responsibilities
Operations & Administration
Oversee daily front-desk and reception duties: greeting clients, answering calls, and managing appointment bookings.
Handle day-to-day administrative operations including payroll preparation, expense tracking, and record keeping.
Assist with staff scheduling, onboarding, and maintaining HR files.
Maintain supply inventory, coordinate orders, and manage vendor communication.
Ensure the clinic is organized, presentable, and operating efficiently at all times.
Monitor the EQNX phone line daily and respond to messages promptly (within defined service standards).
Marketing & Design
Support EQNX marketing activities, including creating and posting content for social media (Instagram, Facebook, etc.).
Design marketing materials such as posters, flyers, and promotional graphics using Canva or similar tools.
Assist in coordinating local partnerships, community collaborations, and promotional events.
Track marketing results and provide simple monthly activity reports.
Maintain brand consistency across all visual and digital assets.
General Support
Work closely with management to ensure smooth daily operations.
Provide flexible support during busy periods, wellness events, or staff shortages.
Qualifications
Post-secondary education in business administration, marketing, or related field preferred.
1+ year of office administration or marketing experience (internships or co-op acceptable).
Strong organizational skills and attention to detail.
Proficiency with Microsoft Office, Google Workspace, and Canva (or similar graphic design tools).
Excellent verbal and written communication skills.
Ability to multitask and work effectively in a fast-paced wellness environment.
Interest in health, wellness, or spa industry is an asset.
