Job Title Operations Manager
Summary The Operations Manager will be responsible for managing local office support operations for brokerage services within our British Columbia offices. This role will lead the administrative and operational functions and will ensure support is provided to local offices in an efficient and effective manner. The Operations Manager will work closely with the Managing Director of Regional Operations, Managing Principal, fee-earner(s) and staff within the market to provide support and implement strategic initiatives.
This is not a remote opportunity. Our ideal candidate will work full time from our Vancouver, BC brokerage office with occasional travel to other the Victoria office as necessary.
Manage Office Operations:
\xc2\xb7 Creatively solve problems to ensure offices operate in an efficient and effective manner
\xc2\xb7 Provide formal leadership, mentoring and supervision to the Broker Support and office Operations staff
\xc2\xb7 Organize, assist, oversee and lead internal meetings and events
\xc2\xb7 Field inquiries from fee-earners and support staff
\xc2\xb7 Collaborate with counterparts in other markets to learn and utilize best operational practices
\xc2\xb7 Oversee and manage the purchasing and maintenance of office supplies and office equipment (i.e., furniture, IT equipment, telephones, snack services, plants, etc.)
\xc2\xb7 Oversee the successful implementation of corporate initiatives within the market
\xc2\xb7 Ensure corporate standards and internal company processes and systems are leveraged
\xc2\xb7 Act as a role model and mentor for all staff
\xc2\xb7 Coordinate and distribute work between support staff as necessary
\xc2\xb7 Other duties as assigned
Budgeting and Expense Management:
\xc2\xb7 Work with Managing Principal, FP&A and Regional Director of Operations to support development of the annual operating plan
\xc2\xb7 Review and expense reports, supplier invoices and deal related expenses to determine if spend is appropriate, in-line with policy, and in-line with the annual operating plan
\xc2\xb7 As required, prepare business cases for approval
Pipeline Management, Revenue Reporting and Forecasting:
\xc2\xb7 Help promote a culture of compliance within the market for fee-earners and support staff to routinely update CRM system
\xc2\xb7 Communicate and enforce guidelines on updating CRM system within office
\xc2\xb7 Work with Managing Principal to develop monthly revenue forecasts
\xc2\xb7 Work with Managing Principal and Regional Director of Operations to follow up with fee-earners and support staff, as needed, to update pipeline information
People Management:
\xc2\xb7 Responsible for partnering with talent acquisition on all recruiting and onboarding within the market
\xc2\xb7 Coordinate day 1 activities for new team members in partnership with HR, Office Manager and IT
\xc2\xb7 Prepare and deliver annual performance reviews for staff
\xc2\xb7 Take timely action with Human Resources to correct unsatisfactory conditions or performance issues
\xc2\xb7 Lead performance management, employee coaching, counseling and policy adherence in conjunction with HR
Background and Experience:
Demonstrated experience should include:
\xc2\xb7 Bachelor\xe2\x80\x99s degree (BA/BS) required in any field; business/real estate preferred
\xc2\xb7 5+ years of people management
\xc2\xb7 Excellent interpersonal communication, leadership, conflict resolution and, relationship building skills
\xc2\xb7 Demonstrated process improvement, continuous improvement skills
Competencies:
\xc2\xb7 Exposure to project and process management
\xc2\xb7 Proven ability in conflict resolution
\xc2\xb7 Excellent written, oral, and presentation skills
\xc2\xb7 Strong Microsoft Office Suite skills (Excel, Word, PowerPoint)
\xc2\xb7 Knowledge of the real estate industry and brokerage business model
\xc2\xb7 Knowledge of CRM systems
\xc2\xb7 Ability to plan, organize, and manage processes
\xc2\xb7 Ability to read, comprehend, and analyze P&L statements
\xc2\xb7 Knowledge of HR practices, including recruitment, interviewing, hiring, employee relations, and staff development
