We are seeking an exceptionally organized and proactive National Operations Manager to oversee all logistical, educational, and administrative operations for our nationwide training institute in non-surgical medical aesthetics. This individual will be responsible for managing course logistics across 12 cities in Canada, coordinating faculty schedules and travel, overseeing inventory and facilities, and ensuring a high-quality educational experience for all students.
Schedule:
Tuesday-Saturday, 9:30 AM-5:30 PM
Key Responsibilities:
1. Course & Faculty Scheduling
Develop and manage course calendars across all locations.
Schedule instructors per province based on enrollment numbers.
Coordinate faculty onboarding and ensure flights and accommodations are booked promptly.
Liaise with instructors to ensure smooth class flow, including balancing theory and hands-on sessions.
2. Inventory & Supplies
Oversee the full inventory lifecycle including ordering, tracking, and restocking of products and supplies.
Develop and maintain an organized inventory management system.
Coordinate with the front desk team to ensure all necessary materials and tools are sent at least one week prior to each course.
3. Facility & Classroom Management
Manage facility bookings across cities and coordinate with maintenance staff when needed.
Ensure classrooms and hands-on areas are appropriately set up and equipped.
Submit invoices related to venue rentals and services to the accounting team.
4. Quality Assurance & Student Experience
Monitor and maintain high standards of educational delivery.
Collect feedback from instructors and students; work with leadership to continuously improve the curriculum.
Assist the admissions team in resolving student concerns and ensuring a smooth experience throughout their training journey.
5. Cross-Departmental Coordination
Act as the operational point of contact between faculty, administration, and leadership.
Support the front desk team with scheduling, communication, and logistical follow-through.
Foster a supportive, solution-oriented environment across teams.
6. Technology & Systems
Identify opportunities for digital and workflow improvements.
Support implementation of technology that enhances operational efficiency and training delivery.
7. Staff Support & Emergency Planning
Supervise and support administrative staff as needed.
Develop emergency preparedness plans for events and trainings.
Ensure safety standards are followed across all locations.
Who You Are:
3-5+ years of experience in operations or logistics, preferably in education, healthcare, or training environments.
Strong project management skills and ability to juggle competing priorities.
Excellent communication and interpersonal skills.
Proven leadership and problem-solving capabilities.
Experience coordinating remote and in-person teams across multiple locations.
Familiarity with regulatory bodies and accreditation processes is an asset.
