Reporting to the Managing Director/Owner, the Operations Manager is responsible for the overall delivery of an effective and efficient multi-disciplinary sports medicine clinic including patient scheduling, human resources and overseeing the day-to-day operations. Supervises administrative staff, provides training and is responsible for ensuring the entire sports medical clinic team provides excellent service to patients.
The ideal candidate possesses exceptional leadership skills, a strategic mindset, and an understanding of medical clinic operations. Responsibilities include managing office operations, patient scheduling, financial planning, and overall clinic management. Creating and managing operational budgets with strong financial skills is essential, along with a strong understanding of medical terminology, billing, insurance plans, and claims processing. You will provide excellent customer service, build relationships with tact and diplomacy, and uphold high professional and ethical standards. Key skills include maintaining confidentiality, effective communication, active listening, strong organizational abilities, efficient time management, and a continuous improvement mindset. You should balance multiple tasks, meet deadlines independently, and adapt to the needs of the sports medical center. Key Responsibilities:
Ensures and coordinates the delivery of day-to-day operational activities to ensure the clinic runs effectively and smoothly.
Oversees a positive patient care experience by managing patient scheduling, ensuring patients feel valued.
Facilitates feedback from patients and employees; ensuring issues and/or conflicts are resolved in accordance with established clinic policies and procedures.
Responds efficiently to patient and the clinic teams' needs and inquiries.
Supervises the medical clinic staff, oversees the human resources function, trains and develops team members, conducts performance management, and manages employee relations in a proactive and engaging manner.
Recruits and selects team members in collaboration with the Medical Director/Owner.
Oversees and manages the clinic's financial budget; ensuring the preparation and distribution of financial reporting to the Medical Director/Owner.
Oversees the selection and maintenance of office equipment, supplies and operational expenses.
Prepares and analyzes management reports; identifies continuous improvement opportunities.
Leads marketing and promotional initiatives; monitors and analyzes marketing initiatives and referrals. Maintains the company website and performs social media for the clinic.
Prepares business correspondence and reports; develops and implements office policies and procedures.
Ensures the effective and efficient functionality of the office. Conducts start of day meetings, ensures the cleanliness of the office is maintained, maintains facilities and equipment in accordance with hygiene and safety regulations.
Ensures patient information is maintained and patient records managed in compliance with privacy and security requirements.
Performs other related duties as required.
Qualifications:
Baccalaureate degree in Business, or other related field.
Five years' recent, related experience (including a minimum of three years' supervisory experience), preferably in a professional clinic, and/or health care setting.
An equivalent combination of education, skills and experience may be considered.
