Operations & Fulfilment Coordinator

Job Description

Overview:

The Operations & Fulfilment Coordinator plays a key role in ensuring an exceptional student experience by managing the end-to-end fulfilment of tattoo student kits and maintaining smooth operational workflows. This is a part-time position that oversees packing and dispatching orders, maintaining optimal stock levels with local and international suppliers, and acting as the primary point of contact for both students and internal stakeholders regarding operational matters.

Key Responsibilities: Order Fulfilment & Logistics



Accurately pick, pack, and prepare tattoo student kits for dispatch. Ship all student orders in a timely manner and track deliveries to ensure kits are received. Resolve any delivery delays, missing items, or fulfilment issues proactively.

Stock Management



Maintain live stock levels and update the operations spreadsheet. Monitor inventory to ensure adequate supplies of all kit components. Conduct regular stock checks to prevent shortages or overordering.

Supplier Coordination



Manage all local stock ordering; work with preferred/procured suppliers while ensuring best pricing is achieved. Liaise with the Australian Head Office regarding stock ordered internationally through central procurement. Build and maintain strong relationships with suppliers to ensure reliability and cost efficiency.

Communication & Stakeholder Management



Serve as the primary point of contact for students regarding kit-related enquiries. Work closely with internal stakeholders including Operations, Sales, Management and Student Support to resolve issues and communicate stock or fulfilment updates. Provide clear updates on stock status, order timelines, and operational risks.

Process Improvement



Identify gaps in fulfilment or stock processes and recommend improvements. Support operations leadership with reporting, forecasting, and documentation as required.

Skills & Experience:



Required



Previous experience in logistics, fulfilment, warehouse operations, or administrative coordination. Strong organisational skills with high attention to detail. Excellent communication skills (written and verbal). Ability to multitask and manage competing priorities

Preferred



Experience managing suppliers and procurement activities. Proficiency in spreadsheets and inventory management systems.

Pay: $20.00-$24.00 per hour
