Operations & Administrative Coordinator
to keep our daily operations running smoothly and help us deliver exceptional service every single day.
About the Role
This is a hands-on, fast-paced role at the center of our operations. You'll coordinate the logistics behind our cleaning jobs, ensuring every client site is properly staffed, supplied, and supported. You'll be the bridge between our field teams, warehouse, and clients -- keeping everyone informed, organized, and on schedule.
Key Responsibilities
Operations Coordination
Plan and coordinate daily cleaning jobs, ensuring all sites are covered and properly staffed.
Assign and communicate schedules to cleaners and drivers.
Track and record hours worked by each cleaner for payroll and job costing.
Respond to client scheduling requests and adjustments promptly and professionally.
Communication & Support
Be the main point of contact for cleaners at recurring accounts -- communicating client requests, updates, and priorities.
Receive and process supply orders from cleaners; coordinate with the warehouse to prepare and deliver supplies to each account.
Support supervisors with job logistics, documentation, and scheduling changes as needed.
Administrative Tasks
Maintain organized digital and physical records related to job schedules, timesheets, and supply requests.
Assist with operations reporting and updating internal databases (e.g., Notion, Excel, etc.).
Collaborate with management to identify process improvements that make operations more efficient and transparent.
What We're Looking For
Strong organizational skills and attention to detail -- you love keeping things on track.
Excellent communication and follow-up skills (both written and verbal).
Comfortable working in a fast-moving environment with many moving parts.
Tech-savvy and confident using tools like Microsoft Office Suite, spreadsheets, and scheduling software.
Experience in operations, logistics, or administrative coordination (experience in cleaning/janitorial or service-based industries is a plus).
Bilingual (English/Spanish) is a strong asset.
