Employment Type: Full-Time, Permanent, Salaried.

Employment Location: Hybrid (Must be able to work 1 day weekly from the Toronto Office, 2 days weekly from the Brampton warehouse, and remaining days are remote).


Salary: $50,000.00 - $62,000.00 CAD. This salary range is based on an assessment of the local market and may vary depending on the successful candidate's experience.This range is based on base salary and does not include additional bonus program and total rewards eligibility.

Three Ships Beauty is hiring! We're looking for an Operations Coordinator to join our growing team. Reporting to the Senior Operations Manager, this role will support the day-to-day execution of operational workflows across our warehouse operations, order flow, inventory tracking, and cross-functional coordination.


The Operations Coordinator plays a critical behind-the-scenes role in keeping things running smoothly ensuring data is accurate, processes are followed, and issues are flagged early. PRIMARY RESPONSIBILITIES





Order Processing & Operational Support

Process purchase orders, submit invoices, and coordinate on-time fulfillment of purchase orders for retail partners including Whole Foods, Detox Market, Well Canada, and others. Communicate promptly with retail buyers and the Three Ships sales team about shipping timelines, delays, and inventory shortages. Monitor Inventory Management System to ensure accurate flow of data and perform manual adjustments as required Assist with the management of EDI systems including processing of orders, submission of ASNs, and creation of invoices/carton labels. Assist with tracking and resolving order issues, including delayed, lost, or damaged shipments. Support coordination with shipping partners and internal teams to ensure smooth execution of special projects, promotions, and kitting initiatives.

Warehouse Logistics

Act as a key point of operational support for the warehouse team, helping ensure workflows remain organized, efficient, and well-communicated. Communicate with and oversee smooth operations with our US-based 3PL partner, including expediting orders, and creating and monitoring inbound and outbound shipments. Support inventory movement tracking (receipts, transfers, returns) and flag discrepancies to the Senior Operations Manager. Participate in warehouse operations meetings to help identify bottlenecks and support continuous improvement initiatives.

Inventory & Data Tracking:

Support inventory tracking and reporting, including updating inventory records and assisting with cycle counts. Help maintain accuracy across systems by identifying and escalating inventory discrepancies or data inconsistencies. Assist with monitoring inventory levels and flagging potential stock-out or overstock risks. Support monthly reporting on operational KPIs such as order accuracy, turnaround time, and cost per order.

Administrative & Other Duties:


Assist with maintaining and updating SOPs, checklists, and process documentation for the operations & warehouse team. Support with inputting data for various reports and processes Support implementation of new tools, systems, or process improvements as directed by the Sr Operations Manager. Help ensure compliance with internal policies, carrier requirements, and operational best practices. Audit, review and ideate improved processes for the warehouse & operations teams. Perform general administrative and operational tasks as assigned.


REQUIREMENTS





1+ years of experience in operations, logistics, supply chain, or warehouse-adjacent roles. Post-secondary education in Operations, Business, Supply Chain, or a related field is an asset. Experience supporting data entry. Speedy & accurate. Strong written and verbal English communication skills. High attention to detail with excellent organizational and time-management skills. Comfortable working with data, reports, and operational metrics. Experience with Google Workspace and/or Microsoft Office. Experience working with Shopify, SPSCommerce, WMS tools, or inventory systems is an asset. Ability to work cross-functionally with multiple teams. Ability to reliably commute 3x weekly between Toronto Office & Brampton Warehouse working locations. Comfortable working in a fast-paced, hands-on environment; warehouse exposure is an asset.
