Recreation Services is responsible for all athletic and wellness facilities on The University of Winnipeg campus which includes the Duckworth Centre and the Axworthy Health and RecPlex. Both buildings offer fitness, health and wellness, sports and recreational programming to students, faculty, staff, alumni and the public.
The Operations Coordinator is a full-time continuing position responsible for the scheduling of all activities and events in the RecPlex and in the Duckworth Centre.
The schedule for this position is Monday to Friday, 10:00 AM to 6:00 PM.
Responsibilities:

  • Schedules all activities in the RecPlex and the Duckworth Centre.
  • Resolves booking conflicts when they arise.
  • Manages internal and external booking requests to ensure optimal use of spaces.
  • Works directly with requesters regarding their booking request, provide confirmation of booking details.
  • Prepares reports on facility utilization.
  • Enters all facility bookings into Fusion and 25Live.
  • Participates in event planning and debriefing sessions.
  • Participates in financial planning for future activities.
  • Provides support to the Director, and the Business Development and Operations Manager (BDOM), for events in recreation facilities.
  • Hires, trains, schedules, supervises, and coordinates work assignments for all Community Attendants in the RecPlex (approximately 15-20).
  • Develops and maintains active employee files for all Community Attendants.
  • Ensures that all Community Attendants complete First Aid training, and all other University mandated training.
  • Communicates with Community Attendants on a daily basis to keep them informed of operational requirements.
  • Prepares and completes payroll data entry and employment paperwork.
  • Participates in the preparation of budgets and budget forecasts.
  • Processes and tracks all payment transactions for facility rentals.
  • Maintains records and files such as facility rental agreements, waivers and user liability insurance documents, regular users/user groups, and for financial/accounting transactions.
  • Prepares and analyses reports on facility usage and rental revenues.
  • Makes recommendations for improvements and potential new sources of rental revenues.
  • Prepares contracts and invoices for rental groups, monitors payments, and follows up on outstanding accounts.
  • Orders supplies and equipment related to activities and facilities in the RecPlex.
  • Contributes to the work of the BDOM and Communications with respect to all content and design for the RecPlex website.
  • Works with TSC to ensure that online systems function properly.
  • Acts as the first point of contact if problems arise with online bookings, etc., and troubleshoots/resolves problems whenever possible.
  • Works with TSC to manage content for the RecPlex monitors and ensures that schedules are uploaded and displayed appropriately.
  • Works with TSC, Academic Scheduling Office, and others to ensure that the scheduling software Fusion and 25Live is kept up to date with respect to the needs of the recreation facilities and our users.
  • Liaises with Facilities with respect to cleanliness issues in the RecPlex.
  • Works with technical support personnel (internal and external) when issues or concerns arise with respect to technical systems used within the recreation facilities.
  • Works with Security Services to address issues and concerns related to security.
  • Coordinates with Facilities and external service providers to address maintenance and repair issues.
  • Liases with Finance regarding electronic payments, payment vouchers, and internal transfers.
  • Coordinates with Human Resources regarding staffing recruitment, payroll and performance.
  • Coordinates and schedules Wesmen team practices, games, and events with Athletics. Works to resolve conflicts with internal and external events.
  • Monitors facilities to ensure the safety of all users. Takes appropriate action to eliminate risks or communicate risks to appropriate staff.
Qualifications:
  • High school completion or equivalent program of studies with office skills training.
  • Completion of post-secondary education required.
  • Four years of directly related work experience, including at least one year of experience scheduling facilities, preferably in a post-secondary recreation environment.
  • Experience supervising staff is required.
  • Experience dealing with the public is required.
  • Experience with accounting and financial reporting is desired.
  • Working knowledge of MS Office software is required.
  • Working knowledge of Point of Sale (POS) and scheduling software is required.
  • Strong verbal and written communication skills are required.
  • Familiarity with a University work environment is preferred.
  • Ability to plan, organize, and coordinate work activities with minimal supervision.
  • Ability to exercise sound judgement and make independent decisions.
An equivalent combination of education, experience, skills, knowledge and abilities may be considered.
Condition(s) of Employment:
  • Must be legally entitled to work in Canada.
  • Availability to work evenings and weekends as required.
  • Ability to pass a Winnipeg Police Service Criminal Record Check and a Province of Manitoba Child Abuse Registry Check.
The salary range for this position will be from $42,387.80 to $58,513.00 annually.
