The Junior Operations Coordinator supports the day-to-day coordination of service activities for ADSS. This role assists with scheduling technicians, handling customer service requests, tracking work orders, and ensuring service jobs are completed efficiently and to company standards. This position is ideal for someone organized, detail-oriented, and looking to grow within security operations or service management.
Key Responsibilities
Service Coordination & Scheduling
Assist in scheduling and dispatching service technicians for maintenance, service requests, and small installations
Monitor daily service schedules and make adjustments as needed
Coordinate service calls, preventative maintenance visits, and emergency requests
Customer Service & Communication
Serve as a point of contact for customers regarding service requests and job status
Receive and log incoming service calls, emails, and tickets
Provide clear communication to customers regarding appointment times, delays, or follow-ups
Work Order & Documentation Management
Create, update, and close service work orders in the service management system
Ensure job details, notes, and technician reports are accurately recorded
Assist with maintaining service records, contracts, and maintenance agreements
Operational Support
Support operations supervisor with daily operational tasks such as daily reports, weekly reports, etc.
Track service completion, outstanding issues, and follow-up requirements
Assist with tracking equipment related to service calls
Assist with service call invoicing, monthly invoicing, and job invoicing
Other duties as required
Compliance & Quality
Ensure service activities align with company procedures and security industry standards
Help maintain accurate documentation for audits, billing, and compliance purposes
Required Qualifications
High school diploma or equivalent (post-secondary education an asset)
1-2 years of experience in customer service, scheduling, dispatch, or coordination preferred
Strong organizational and time-management skills
Excellent verbal and written communication skills
Proficiency with Microsoft Office (Outlook, Excel, Word) or similar tools
Ability to multitask and prioritize in a fast-paced environment
Preferred Qualifications
Experience in the security, construction, field services, or technical services industry
Familiarity with service management or dispatch software
Basic understanding of security systems (alarms, CCTV, access control) is an asset
Customer service or call center experience
