About the Position
Reporting to the Operations Manager, the Operations Coordinator will be based in the Montreal head office and be responsible for office coordination and operational logistics in the organization. This position is expected to work from the office located in the Plateau neighborhood of Montreal 3-5 days per week and be comfortable working in french and english. It\xe2\x80\x99s not required but an asset for this position to have reliable access to a vehicle to run errands.
They will be the first point of contact for staff regarding any office support and coordination at the Montreal head office, as well as any work equipment and other logistic needs for all staff like travel, meals, events, etc. This person will interact with staff across the organization to facilitate smooth logistics and operations. This position requires keen attention to detail, excellent communication skills, and an ability to maintain a high level of organization and task prioritization. This position will also help support the constant development and improvement of operational efficiencies at Aisb, requiring creative thinking, initiative and time and project management skills. Responsibilities Office support (40%)
Help organize and maintain the office environment, including plant maintenance, cleanliness of common areas, supply stocking, etc.
Responsible for checking office needs/inventory on a regular basis
Help receive packages and mail
Receive visitors and provide information as needed
Help staff members with their logistic inquiries
Help with other ad hoc office tasks as needed
Meals, travel arrangements and HUB spaces (25%)
Coordinate food vouchers for RISE HUBs, staff lunch, Table Topic events, and any other ad hoc food voucher requests
Coordinate travel arrangements for staff, including flight and hotel purchases, per diem arrangements, ground travel support, etc. with the Operations Manager.
Support HUB Coordinators with getting contracts for HUB meeting spaces, coworking spaces, and sometimes conference rooms for events
Workstation equipment, IT and Shipping (20%)
Meet with new staff as part of Onboarding process, purchase and ship them workstation equipment, arrange to get equipment back from departing staff
Maintain inventory list of all equipment staff has and computers in the organization
Act as main point of contact for IT company, work with them on longer term archiving and file management projects
Contracts (5%)
Read through the first draft of internal contracts
Communicate with staff on specific wording to meet deliverables desired in contract
Reach out to insurance broker if contractors want to be named as additional insured
Finance & Admin (10%)
Regular tracking of Operations budget and timely filing and organization of all Operations related documents
Responsible for some invoice tracking and payments of regular operational suppliers
Attend regular department and staff meetings
Participate in regular check-ins with Operations Manager

Strong organization skills; ability to stay organized in a high-paced environment
Excellent communication skills in french and english; patient, succinct, helpful
Experience in office coordination and/or operations and logistics
Basic understanding of anti-oppressive frameworks, and openness to learning and embodying inclusive practices
Willingness to learn and grow: you don\xe2\x80\x99t need to know everything or get it right all the time, but you do have to ask questions, admit mistakes, and commit to growing!
