Operations Coordinator

On Site: Monday through Friday (8 AM to 3 PM)
The Glass Place is one of Canada's leading stained glass and supply distributors, serving studios and artists across Canada and the the US. The Operations Coordinator supports daily administrative workflows, accounting documentation, inventory systems, and customer order processing. This is a hands on role that requires strong organization, accuracy, and the ability to manage tasks independently.
Serious Candidates Only - Applicants must have prior experience and good working knowledge of the FoxPro and Visual FoxPro system. We are looking for candidates who can hit the ground running as training time is limited during our busy season.
Key Responsibilities
Operations Support
Complete all customer work orders and process invoices before end of day
Verify invoices for correct shipping fees, boxing fees, and additional charges
Maintain daily backups and ensure systems are updated
Keep paperwork fully filed, organized, and accessible
Maintain a tidy, clean, and professional workspace
Administrative Responsibilities
Manage the company inbox with no backlog of unread emails
Respond promptly and professionally to all customer inquiries
Answer incoming phone calls and assist clients
Maintain a daily log of completed tasks and tasks awaiting approval
Accounting Support
Daily logging of accounts payables and receivables
Identify, flag, and track unpaid balances or discrepancies
Tight follow-ups with accounts that exceed net 30 day payment terms
Support bookkeeping with accurate documentation and reliable record keeping
Maintain confidentiality of client information, pricing, internal processes, and financial records.
Software Requirements
FoxPro or Visual FoxPro
Ability to navigate, search, and manage data within a legacy database environment
Prior experience and good working knowledge of the FoxPro and Visual FoxPro system. We are looking for candidates who can hit the ground running as training time is limited during our busy season.
Strong Excel skills and proficiency in email and cloud based systems

Qualifications
Experience in administrative, operations, or office coordination roles
Experience with AP/AR documentation
Inventory or logistics experience is an asset
