We are seeking a highly organized and detail-oriented Operations Coordinator to support our administrative and operational functions for our client. The ideal candidate will possess strong office experience, excellent communication skills, and proficiency in various software tools. This role involves managing daily administrative tasks, supporting customer service efforts, and ensuring smooth office operations to enhance overall efficiency.
Duties
Manage and coordinate office activities, including filing, data entry, and document management
Must have knowledge with trucking industry.
Must know about logistics, coordinating with returns, truckers, and customer.
Handle multi-line phone systems with professionalism and courtesy, providing exceptional customer support
Maintain accurate records using QuickBooks, Microsoft Office, Google Workspace, and other relevant software
Assist with front desk responsibilities such as greeting visitors and managing appointments
Support bookkeeping and basic financial tasks related to billing and invoicing
Proofread documents for accuracy and clarity before distribution
Organize and prioritize tasks to meet deadlines effectively
Provide administrative support to team members and management as needed
Support medical or dental office operations if applicable, including patient scheduling and reception duties
Requirements
Proven clerical or administrative experience, preferably in a medical or dental office setting
Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
Experience with front desk operations, multi-line phone systems, and phone etiquette
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Excellent proofreading, typing speed, and attention to detail
Customer service experience with a professional demeanor and strong communication skills
Ability to handle filing systems accurately and maintain confidentiality of sensitive information
Basic bookkeeping knowledge is a plus
Prior experience in customer support or medical/dental reception is desirable
