The Central Okanagan Elizabeth Fry Society (COEFS) is a feminist non-profit organization supporting and empowering survivors of intimate partner violence, sexual assault, and child abuse. Position Summary
The Operations Coordinator is responsible for the efficient day-to-day operations of COEFS, ensuring the internal infrastructure and support systems run smoothly for staff, clients, and leadership. This role supports organizational sustainability by freeing up the Executive Director to focus on external partnerships, fund development, and strategic growth. The Operations Coordinator works closely with the Program Managers and supervises admin staff, ensuring high-functioning internal processes.
Key Responsibilities
o Oversee daily internal operations, including admin, office systems, scheduling, and facilities.
o Coordinate staff logistics and vacation tracking for approximately 15 staff.
o Supervise front desk and administrative staff; support onboarding, training and probation tracking.
o Manage internal documentation systems (forms, templates, digital files, etc.).
o Collaborate with Program Managers and ED on internal communication and staff support.
o Support expense tracking, purchasing, and liaise with accounting and vendors.
o Ensure compliance with privacy, health & safety, and internal policies.
o Facilitate positive team culture and regular operations updates/Team Meetings
o Report risk flags or system breakdowns to the ED and help implement improvements.
Qualifications & Skills
o Minimum 3 years' experience in nonprofit operations, program coordination, or admin management.
o Strong organizational and systems-thinking abilities.
o Excellent interpersonal and leadership skills.
o Understanding of trauma-informed, anti-oppressive practices preferred.
o Proficiency with Microsoft 365, file sharing, and basic financial documentation.
o Calm, collaborative, and solutions-oriented approach.
Compensation
This is a full-time, permanent position based in Kelowna, BC. Salary range: $70,000 - $74,000 annually, commensurate with experience and internal equity. Includes vacation, extended health benefits, and RRSP matching after probation.
