We're a grantmaking foundation, but we give differently: we leverage the time, talent, treasure, and ties of the SVP community to improve the way non-profits operate, in service of helping kids and youth. We also strive to educate and engage philanthropists. Our community consists of 150+ engaged philanthropists and 25+ nonprofit organizations. Over the last 21 years, our foundation has provided nearly 70 non-profits with more than $6 million in grants and capacity building programming. Purpose: The SVP Operations and Grantmaking Coordinator will support the day to day administrative functions which sustain the smooth operation of Social Venture Partners Vancouver. This position will also support the administration and coordination of SVP's Grantmaking selection and review process. This work is in support of our dual mission:

1) to build capacity in local non-profits

2) to build capacity in local philanthropists

This role reports to the Executive Director.

The Grantmaking and Operations Coordinator will support the Executive Director and SVP Opportunities Committee with the identification, screening, intake, and review of all prospective grantees against SVP's grantmaking values and criteria. Grantmaking responsibilities will include:

  • Conducting comprehensive online research and reviews of applicant organizations and support screening process against grantmaking values and criteria
  • Manage applicant communications
  • Coordinate creation and dissemination of all grantmaking documentation in SVP's due diligence and discovery process, including applicant proposals and presentations
  • Provide logistical support for grantmaking meetings and applicant communications, including: scheduling of Opportunities Committee and Discovery Meetings, preparation and distribution of meeting materials, minute taking, room bookings and catering coordination
The Grantmaking and Operations Coordinator is responsible for SVP's day-to-day operations, finances, data management and reporting, regulatory compliance, and HR administration. Responsibilities will include:

Administrative support and Data Management
  • Oversee day-to-day operations and office management
  • Field internal and external inquiries by phone and email
  • Provide logistical support for meetings as required, including: preparation of Board packages, distribution of meeting materials, minute taking, calendar management, room bookings and catering coordination
  • Provide administrative support for SVP events
  • Provide HR administrative support including employee on/offboarding, provincial and federal paperwork, and employee extended health benefits
  • Perform data entry regarding donors, grantees, and other stakeholders
  • Produce reports in Salesforce as required by staff and Board
  • Administrate grantmaking process, reporting and renewal requests
  • Support basic IT needs and platforms
  • Act as the Salesforce database administrator as needed and coordinate with third party Salesforce support/service providers
  • Perform other related duties as required
Financial coordination
  • Manage SVP's day-to-day finances, including records and controls, A/P, A/R, banking, receipting, grant disbursements, donation processing (both online and offline) and bank deposits
  • Act as the main contact for SVP bookkeeper, liaising on financial reports, procedures, and operational upgrades as needed
  • Maintain and update financial records for each grantee and donor household
  • Manage the timing and dissemination of membership dues renewal requests and the associated tax receipts
  • Prepare all supporting information for the annual financial review and liaise with the Treasurer and representatives of our review firm as necessary
  • Identify and implement operational efficiencies to ensure a sustainable future for SVP's goals, plans and priorities
  • Support regulatory compliance in the form of the Registered Charity Information Return and other associated CRA paperwork
  • Perform other related duties as required
Requirements

Education and Experience
  • Post-secondary diploma or degree and/or real world experiences in a relevant field (e.g. Finance, Operations, Nonprofit Administration)
Need to haves:
  • Demonstrated financial and operations experience
  • Knowledge of administrative and office procedures
  • Excellent computer skills, including proficiency in Google Workspace, people management platforms (Eg. Collage), spreadsheets, Slack, and internet and email applications
  • Experience with Salesforce or other similar CRM
  • Experience with Xero or other similar cloud-based accounting software
  • Basic financial management/accounting skills
  • Strong written and verbal communication skills
  • Very high attention to detail
  • Strong organizational and time management skills
  • Ability to handle confidential/sensitive information appropriately
  • Demonstrated ability to work collaboratively on a team as well as self-directed and independently
  • Able to prioritize, problem-solve and remain flexible within a fast-paced and changing environment
Nice to haves:
  • Experience working in the nonprofit sector
  • Knowledge of best practices in grantmaking and equitable grantmaking
  • Grant writing and research experience
  • Experience in a donor-facing role and/or with donation processing
  • Familiarity with venture philanthropy is a bonus
  • Knowledge of small nonprofits (under $500k)
Benefits

The salary range for this role is $52,000-$58,000 plus comprehensive benefits, including 4 weeks paid vacation and paid leave during our holiday office closure. There is also the possibility to work a 4-day work week (at a prorated salary range of $41,600 to $46,400).

Accessibility: Please note, SVP's main office space is located on the fifth level of the building with an elevator for access to the office.
