Mission We are looking for a Proposals Coordinator who will be primarily responsible for drafting proposals in response to requests for proposals for our Energy & Resources group. The Proposals Coordinator will oversee coordinating the activities, tasks, and intervention of those involved in preparing the assigned proposals, drafting non-technical sections in close collaboration with internal multidisciplinary teams and partners (consortium or sub-contract), ensuring compliance with deadlines and ensuring the final submission of proposals in full compliance with applicable quality standards. This is a hybrid role that can be based of our Mississauga office location. Primary Responsibilities

  • Complete project-based tasks such as typing, editing, proofreading, and formatting technical documents in accordance with corporate templates and standards including technical reports, letters, resumes, proposals, and contracts
  • Transcribe and format dictated reports, minutes, memos, and other documents from electronic recordings
  • Assist with proposal preparation and assembling the final version of proposals from the various sections in response to Request for Proposals (RFP) documents and submitting them to the client
  • Assist with project setup process including project filing and preparation of project start-up documentation
  • Participate and run proposal preparation meetings
  • Write general proposal sections and complete all forms that require internal and external signoff
  • Coordinate follow-up on text produced by various contributors (directors, project managers, engineers, technicians) and verify compliance with all call for proposal requirements
  • Refine overall layout, formatting, and visual appeal of proposal documents in Word and InDesign
  • Review proposal documents, ensuring quality control during final assembly (contents and formatting) and follow up on submitted proposals and results
  • Participate in debrief meetings on bids won and lost and propose improvements to current processes
  • Provide administrative support to senior staff and undertake other planning and coordination tasks as required
Profile
  • 3 years or more of administrative experience ideally gained in any of the following industries – architecture, engineering, construction, or industrial tech
  • Advanced knowledge of MS Office Suite (Word, PowerPoint, Teams) and either Adobe Acrobat or Bluebeam (PDF creating software)
  • Excellent writing, editing, verbal communication, and proofreading skills (including accurate use of grammar)
  • Highly collaborative and a commitment to working effectively in a team environment with the marketing team, partners/associate partners, and engineers
  • Startup mindset - Self-starter and fast learner, with the ability to organize, prioritize, and manage multiple tasks in a constantly changing environment without sacrificing quality or attention to detail
  • Flexibility in terms of work schedule, and availability for occasional overtime
  • Experience in the field of consulting, engineering, or project management (an asset)
  • Post-secondary education in administration or communications considered (an asset)
  • Knowledge of Visio, Excel and SharePoint is (an asset)
