Operational Support Specialist, Residence/Conference Services

Residence Services, specific to the operations and conference portfolios, oversees all administrative and financial elements of a student living with us on campus within 4 housing communities consisting of 11 buildings, offering approximately 2200 student accommodations. In addition, Residence Operations oversees and coordinates a conference season, running May - August each Spring/Summer, whereas we market, book and welcome guests to stay with us in Residence while hosting and/or attending conferences, workshops, sports camps etc. taking place on campus or within the Saskatoon community.

Primary Purpose: Working within the Residence Services office, you will work alongside our Hospitality and Events Coordinator to facilitate and develop conference and short stay reservations on campus during our conference season, as well as assist with student residence accommodations, and act as a team lead within the Residence Operations team. You will provide high level customer service in identifying and coordinating guest reservations.

Nature of Work: Reporting to the Manager, Residence Operations, you will work on location, in an office environment, which can reflect high volume, high stress, rapidly changing priorities, with regular interruptions. This role requires a high level of initiative and creativity and will be required to work independently to continuously improve and expand our services to guests and residents. The ability to alter your weekly work schedule as needed between various daytime, evening, and weekend shifts, as well as being on call to provide after-hours support during peak conference season will be necessary.

Typical Duties or Accountabilities: You will provide high-level customer service to identify and coordinate guest reservations and will ensure that all correspondence to guests and students are responded to in a professional and timely manner. You will be required to provide regular revenue reporting and billing for conference groups; support the operational leadership team in the hiring, training, coaching and guidance of new team members; as well as supervise part time summer staff supporting the conference portfolio; and assist in preparation for the fall student move-in process. You will troubleshoot and provide support for guests requiring information on registration, payments, specific room needs and meal plans; and will coordinate both conference and residence bookings, conference registration and meal plan setup using the StarRez system. You will also be required to collaborate with facilities/maintenance teams and external contractors to schedule room turnovers and cleaning for upcoming conference and residence stays.

Education: Completion of grade 12 along with education or training in a relevant related field. A Service Best certification would be considered an asset.

Experience: A minimum of three experience in customer service or the tourism industry is required. Must have a strong technical grasp and be knowledgeable in various computer software programs including Microsoft Office, Excel, PowerPoint, Adobe, Canvas and Photoshop. Knowledge of the University of Saskatchewan's financial system or StarRez would be considered an asset. Experience in a property management environment and/or training/coaching experience would be beneficial.

Skills: Proven organizational, customer service, leadership, technical, logistical, oral/written communication and time management skills. Demonstrated attention to detail; the ability to assess priorities and manage multiple projects with competing demands and deadlines and to work independently and as an afterhours support contact.
