Our client within commercial real estate is adding an Office Manager to join their high-performing team for their Toronto Office location. In this role, you will be responsible for a variety of office tasks assisting in the day-to-day operations. - You're resourceful - nothing is too small for you to do or too big for you to find a solution for (whether on your own or with others help)
- You're great with technology. You're familiar with tools like Slack, Zoom, excel, g-suite and quick books (or are a fast learner if not!)
- You prefer to know the successful outcome and find your own way there - you can take instruction, but you don't need (or want) to be micromanaged
- If you do something more than once, you immediately want to turn it into a system, document, or written/visual/video process

Duties and Responsibilities Include:

- Oversee the day-to-day operations in the office and serve as a point of reference for general inquiries related to facilities in the office
- Liaise with the building landlord for any queries regarding the premise
- Ensure proper coverage to meet the business needs of the office at all times, ensuring that internal stakeholders' expectations are being met
- Monitor and balance the workload between employees
- Work with IT to assign access cards to the building and the office to new employees
- Handle, in consultation with the Managing Partner, office space planning and the assignment of offices and workstations
- Take part in the preparation of annual office budgets and/or larger premises projects, in collaboration with the Managing Partner, as needed
- Purchase new office and/or conference room furniture as necessary, with prior approvals
- Manage the purchasing of office and kitchen supplies as per budget approvals and liaise with office vendors
- Look after health and safety matters for the Toronto office, including the responsibility of Fire Member Safety sheet for the building and Tower Tenant Floor Warden
- Organize social activities during the year, including Professional Administrative week, summer events, year-end festivities, etc.
- Schedule photo shoots for new employee
- Work with other internal and external stakeholders regarding onboarding and offboarding of employees
- Perform other relevant duties and tasks in line with new or emerging business needs or as assigned by the partners
- Execute other duties as assigned

Skills and Qualifications Required:

- Postgraduate Degree or Diploma in Administration, Business, Communications, or related field or equivalent related experience
- 2 to 4 years of administrative experience preferably in the real estate industry or other professional services environment
- Real Estate License is a definite asset
- Outstanding written and oral communication skills
- Strong organizational, and time management skills with a can-do attitude
- Ability to work in a dynamic, fast-paced environment and able to work under pressure
- A team player who is results-oriented with strong interpersonal skills who hit the ground running
- Very strong MS Office and Good Suite
