Reporting to the Director, Workplace Experience Manager, Facilities, the Office Manager will play an integral role in ensuring the day-to-day operations of our global workspaces meet the demands of our and expanding workforce and global presence. Working with multiple stakeholders throughout the organization and within the community the Office Manager will ensure the demands of the business are met while supporting a positive employee experience.

What you will do:

  • Office Management
  • Provide the first level contact support for all entering our headquarters.
  • Provide phone support for all calling into our headquarters
  • Establish working relationships with facility management, security and cleaning staff as appropriate and required
  • Manage the onsite booking and reservation systems for all geographies

  • Mailroom and Shipping
  • Establish and maintain relationships with shipping vendors
  • Coordinate the shipping needs of the business and its various departments
  • Coordinate the distribution of assets to new hires and from terminated employees
  • Coordinate the timely distribution of mail received from our global offices

  • Inventory Management
  • Maintain an inventory management system for all onsite inventory including: Stationary and office supplies, marketing equipment and supplies, IT hardware and accessories and business related swag items
  • Provide inventory reports as needed and requested by the business
  • Ensure inventory levels are maintained and replenished as needed and directed.

  • Document filing and Storage
  • Coordinate the safe and secure disposal of all business related items no longer needed or required for storage.
  • Maintain working files (soft/hard copies) for all business related documents as directed by departments.

  • Onsite Events and Functions
  • Working along side the Manager, Facilities, event staff, department leads and facilities representatives ensure workplaces meet the needs of our events and functions from refreshments and food, to permits, approvals and supplies.

  • 1 to 3 years experience in a similar role
  • Relationship-building

  • Strong analytical and problem-solving skills
  • Ability to work autonomously
  • Organisation, time management, prioritising and the ability to handle a complex, varied workload
  • Post secondary diploma or equivalent
