Research Officer/Office Manager

The Toxicology Centre is the hub of research and administrative support for the U of S Toxicology Graduate, Undergraduate and many research programs. Primary Purpose: To provide management of Toxicology Centre main office and laboratories. Nature of Work Reporting to the Manager of Finance & Operations, this position exercises discretionary decision making; establishes and maintains the level of professional relationships that support exceptional collaboration and problem solving; and builds working relationships with graduate students, faculty, sessional lecturers, and research staff. This is a high volume position and requires the ability to work under pressure in a fast paced environment while balancing competing deadlines. Confidential materials are routinely handled. Work volume is high requiring close attention to detail in a high traffic work environment subject to frequent interruptions. Duties are performed independently with occasional guidance from the Manager of Finance & Operations in determining specific priorities and appropriate actions for more complex tasks.

Typical Duties or Accountabilities:
  • Support the Graduate Program Academic Advisor in the capacity of Graduate Program Secretary (assist with graduate student application adminstration, graduate student inquiries, organizing committee meetings, assitance with minute taking and updating of student information on Banner and Degree Works, update and maintain graduate handbook, and student files.
  • Provide administrative support for Toxicology Faculty meetings including preparation of agendas and minutes.
  • Preparation of confidential material pertaining to personnel and student information.
  • Assist and provide support to the Director and Graduate Chair in the development and implementation of new academic graduate programs, including the drafting of proposals for institutional program approval.
  • Ensure that all faculty, graduate students, research and field assistants, and summer students are current with regard to general lab safety, animal ethics and handling, biosafety, radiation safety, first aid, and boating and firearm safety certification. Maintain records of completed training.
  • Apply proper procedures and established techniques to the Toxicology Centre’s front office and laboratories while ensuring all Toxicology Centre staff and students receive proper training to carry out their functions.
  • Act as a liaison between technical representatives and faculty to ensure the maintenance of all analytical equipment with regard to warranties and service agreements.
  • Assist faculty and graduate students in drafting and submission of animal care and use protocols.
  • Responsible for the proper handling and disposal of waste chemicals, biohazardous materials, sharps and radioactive waste from all Toxicology Centre research laboratories.
  • Provide administrative and financial assistance to the Manager of Finance & Operations and faculty, including preparation of financial documentation and other related materials.
  • Provide support for all front office inquiries.
  • Other duties as assigned.
Education: The successful candidate should have either a university degree in business administration, a recognized business college diploma, or an equivalent combination of training and experience. Ideally, the successful candidate should also have an academic background (university undergraduate degree) or direct work experience in toxicology or a science related discipline. Experience: The candidate should have a minimum of two years of office experience or lab management in a university setting. Graduate secretarial experience would be a tremendous asset. Skills: The successful candidate will: have effective written and verbal communication skills; be versatile and able to adapt to potential high pressure situations; have an aptitude for working in a team-oriented atmosphere; possess exemplary interpersonal skills; exhibit strong attention to detail; be flexible in the face of change; have the ability to prioritize and thrive in a high volume setting; be open to learning new procedures; possess a high standard of professional integrity in handling sensitive information; encompass a positive, friendly and outgoing attitude; possess some knowledge of animal care and use regulations, exhibit strong work ethic and dedication to the position; experience with internet and database research and information gathering and synthesis; database management; and possess demonstrated knowledge Microsoft Office Suite computer applications. Familiarity with USask information and processing systems (PAWS, RMS Recruit, Banner and Degree Works) would be an asset.
