We are seeking a highly organized and proactive Office Manager to oversee daily office operations and ensure a smooth workflow. The ideal candidate will possess strong administrative, supervisory, and communication skills, with experience in managing office functions, human resources, and team coordination. This role requires a detail-oriented professional capable of handling multiple responsibilities efficiently while fostering a positive work environment.
Responsibilities
Manage the day-to-day operations of the office.
Manage and Collect Account Receivables.
Answer and direct phone calls and emails.
Manage and oversee office supplies and equipment inventory.
Generate Weekly, Monthly, Quarterly, Bi-annual and Annual Reports.
Schedule meetings and appointments.
Front desk admin, greeting visitors, submitting to insurance providers and providing general information about the office and its practitioners.
Organize and maintain record management systems.
Perform basic bookkeeping tasks.
Experience
Proven supervisory experience in an office setting or administrative environment
Proficiency in Jane software is preferred
Prior front desk or receptionist experience demonstrating excellent communication skills
Human resources experience including payroll processing and employee onboarding preferred
Strong bookkeeping skills with attention to detail
Extensive office experience with clerical duties such as filing, data entry, and product management
Familiarity with multi-line phone systems and administrative software tools
Demonstrated organizational skills with the ability to manage multiple priorities effectively
