We are currently seeking a highly organized and personable Office Manager to join our team. This role offers an exciting opportunity to contribute to the smooth functioning of a busy mental health clinic.
Position Overview
As the Office Manager, you will play a central role in ensuring the day-to-day operations of the clinic run seamlessly. This includes managing client communications, conducting intake interviews, coordinating referrals, overseeing payroll, and maintaining the office environment. This position is ideal for someone with strong organizational, administrative, and interpersonal skills.
Key Responsibilities
Serve as the primary point of contact for client communications, responding promptly and professionally to inquiries via phone and email.
Conduct intake interviews with potential clients to gather initial information and assess service needs.
Manage client referrals and coordinate with the clinical team to ensure timely service delivery.
Oversee and process payroll, ensuring accuracy and adherence to timelines.
Handle general office management tasks, including maintaining supplies, scheduling, and ensuring a welcoming and organized clinic environment.
Work closely with the Clinic Director, Dr. Michael Best, to support clinic operations and strategic initiatives.
Maintain accurate records and ensure compliance with confidentiality and privacy standards.
Qualifications
Previous experience in office management, administrative support, or a similar role, preferably in a healthcare or mental health setting.
Strong interpersonal and communication skills, with the ability to interact professionally with clients and team members.
Experience conducting intake interviews or mental health assessments.
Excellent organizational skills and attention to detail.
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Proficiency in office software (e.g., Microsoft Office) and familiarity with scheduling and payroll systems.
Understanding of confidentiality and privacy standards in healthcare is an asset.
