Job Description

Position Summary

The Hay River Co-op is looking for an experienced and organized Office Manager to lead and coordinate the administrative operations of our Hay River store. Reporting to the Operations Manager and collaborating closely with our Accounting and Administration team at our Head Office in Yellowknife, you will serve as the key liaison between store-level staff and Head Office for all accounting, payroll, and administrative matters. While the primary accounting functions are handled centrally, this role is essential in ensuring timely and accurate communication, data flow, and administrative support at the store level. This role is full-time.



Who You Are

You are a detail-oriented professional with a strong background in office administration and basic accounting. You take initiative, stay organized, and communicate clearly across departments. You enjoy leading a small team, supporting operations, and ensuring everything runs smoothly behind the scenes.



You have:



Minimum 3 years of experience in office administration, accounting, or a similar role. At least 1 year of experience in accounts payable or receivable functions. Solid organizational and time-management skills. Strong communication and interpersonal abilities. Proficiency with Microsoft Office (Excel, Word, Outlook). Familiarity with centralized accounting processes (an asset). The ability to work independently and manage competing priorities.

What You'll Do

Administrative Operations

Oversee daily administrative functions and maintain accurate filing systems. Manage internal communications and act as the liaison with Head Office. Keep the office stocked and organized, coordinating IT support when needed. Track departmental vacation and maintain operational records. Assist the Hay River store with hiring and onboarding.

Payroll & Accounting Liaison

Submit daily sales, payroll, and financial data to Head Office. Assist with invoice processing, petty cash, deposits, and accounts receivable. Input payroll hours for all departments and address payroll questions. Help prepare documentation for audits and internal reviews.

Team & Personnel Management

Lead the Hay River's store administrative staff. Support team development and ensure HR policies are followed. Coordinate onboarding and provide operational guidance to new hires.

Policy & Compliance

Ensure local operations align with Co-op policies and standards. Maintain accurate documentation for audits and compliance. Report any policy deviations or issues promptly.

Other Duties

Support inventory tracking, departmental administration, and special projects. Provide day-to-day administrative assistance to managers across departments. Other duties, as assigned.
