To better serve the British Columbia region and support our growth, we will be relocating from Delta to South Surrey by the end of summer 2025.
Overview of the Position:
Reporting to the Operations Manager, the Office Coordinator will greet walk-in customers and vendors and is our administrative expert. This role is diverse in its responsibilities and requires a dynamic individual to take on the job requirements professionally.
Key Duties and Responsibilities:
Respond to in-person, phone, and email inquiries; distribute incoming and outgoing mail.
Maintain and update the service provider database to ensure accurate, current information.
Process sales orders into finalized invoices within the ERP system.
Review purchase orders and sales orders for accuracy; generate and file corresponding invoices upon confirmation of delivery or proof of receipt.
Send Accounts Receivable POS slips; verify receipts against settlement reports.
Support operational projects in collaboration with management.
Assist the Sales, Parts, and Service departments with marketing initiatives and campaign including ordering marketing materials; manage inventory and coordinate distribution.
Procure and maintain inventory of office and kitchen supplies.
Plan and coordinate onsite and offsite social events.
Oversee routine building operations and facility maintenance, including e-waste recycling and inspection-related services.
Manage visitor registration processes; create welcome signage for meetings and events.
Maintain an up-to-date display of brochures and publications in the front foyer.
Perform general housekeeping in communal areas, ensuring cleanliness and adequate supplies.
Execute additional tasks and responsibilities as assigned.
Experience and Qualifications:
Minimum two (2) years of experience as an Office Coordinator or in a similar role, preferrable with an industrial /manufacturer engine distribution.
Experience using MS Office programs (Outlook, Excel, Word, SharePoint, PowerPoint)
Experience planning and facilitating company events or activities.
Excellent communication skills, both verbal and written, and outstanding customer service skills.
High school diploma or post-secondary education.
Inventory management experience preferred.
