Ricoh is currently looking for career-oriented individual to support the daily operations of one Managed Service location including any or all of the following: reception, catering support, copy production and finish work, operation of a mail centre, maintaining billing logs and reports.

DUTIES AND RESPONSIBLILTIES

RECEPTION:

  • Courteously meet and welcome customers and general members of the public
  • Answers, screen and direct all incoming calls
  • Assist visitors with visitor badges
  • Responsible for meeting room schedules
  • Review and update internal telephone directory
  • Monitor and ensure the reception area is kept tidy and projects a business-like image
MAIL:
  • Process all incoming and outgoing mail
  • Performs other mailroom functions such as mail fulfillment, which includes sorting, filing, packaging and processing shipments for delivery to multiple locations
  • Filing and labeling of documents and other material for storage and retrieval
  • Shipping and receiving including the movement of boxes and or equipment
  • Provides courier service for the pickup and delivery of mail and copy jobs, on campus and offsite
COPY:
  • Assist in the Copy Centre and performs all functions required for the delivery and completion of all copy requests. May include the usage of binding, folders and laminators etc.
  • Performs basic troubleshooting on all equipment used within the Ricoh Centre
  • Assists in the coordinating of work assignments to meet specific deadlines and service deliverables
  • Manage all aspects of the Ricoh Centre in the absence of the Site Manager/Supervisor
  • Performs front desk receptionist duties
CATERING:
  • Prepare meeting rooms for food and beverage service, deliver, set-up and retrieve orders, perform clean-up and reset of meeting rooms when the meeting is finished
  • Ensure that all table top items, including but not limited to linens, plates, cutlery and glassware are clean and presentable, properly set tables and related furniture for special events
  • Maintain a safe and orderly work area and perform all job duties in a safe manner, following all Firm safety policies and procedures
  • Maintain inventory supplies, ensuring the kitchen, conference centre and coffee rooms are well stocked, assist in receiving and storing deliveries
  • Ensure exceptional client service for all events, including prompt delivery of food, beverage and catering needs, familiarity with boardroom technology and supporting the conference floor set up and take down

QUALIFICATIONS
EDUCATION & EXPERIENCE:
  • High School Diploma or equivalent work experience
  • Minimum 1-2 years of experience working in a mail room, reception, hospitality, or customer service role
SKILLS:
  • Excellent interpersonal skills with the ability to quickly develop business relationships
  • Strong self-motivation to drive results
  • Excellent communication skills both verbal and written
  • Working knowledge of accepted food service industry standards with regard to food sanitation, food handling and preparation, food and beverage set-up and service
  • Certification to serve alcohol preferred
  • Food safety certificate preferred
  • Effective use of Microsoft Office
  • Ability to lift 30+lbs. as necessary
