The Office Administrator supports the daily administrative and operational functions of WPFC under the direction of the Office Manager. This role ensures smooth coordination between families, coaches, staff, and the Technical Department. The Office Administrator will handle communications, data entry, scheduling, and general administrative tasks that contribute to the efficient operation of the club office and its soccer programs.
Administrative Support
Assist the Office Manager in daily office operations and administrative duties.
Maintain accurate and organized records, including registrations, payments, and attendance logs.
Manage data entry and database updates in registration and scheduling systems.
Prepare reports, documents, and correspondence as requested by the Office Manager.
Help coordinate equipment inventory, uniform distribution, and supply management.
Process invoices, receipts, and expense claims for approval.
Communication & Member Support
Serve as a first point of contact for inquiries from members, parents, and coaches (via phone, email, or in-person).
Provide clear and professional communication regarding registration, schedules, events, and club policies.
Maintain up-to-date contact lists and assist with club newsletters or member updates.
Support the Office Manager and Technical Director with program information and logistical coordination.
Scheduling & Coordination
Assist with field bookings, program scheduling, and communication of changes.
Coordinate logistics for grassroots, development, and competitive programs as needed.
Provide administrative assistance for club meetings, events, and tournaments.
Support volunteer coordination and event registrations.
Collaboration & Teamwork
Work collaboratively with the Office Manager, Technical Director, and other administrative staff to ensure consistent service delivery.
Support the club's operational goals and uphold its values of inclusivity and community engagement.
Participate in seasonal planning meetings and provide input on improving administrative processes.
Qualifications
Certificate or diploma in Office Administration, Business Administration, or a related field (or equivalent experience).
1-2 years of administrative or clerical experience, preferably in a nonprofit or sports organization.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with database or registration software.
Strong organizational skills with attention to detail and accuracy.
Excellent written and verbal communication skills.
Ability to manage multiple tasks and work independently under minimal supervision.
Availability to work occasional evenings and weekends as required during busy program periods.
Valid Child Abuse Registry and Criminal Record (CPIC) checks required.

Compensation
Compensation will be based on experience and qualifications.

Pay: $18.00-$21.00 per hour
