PRIME FIRE SYSTEMS is seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, providing exceptional customer support, and maintaining an efficient front desk environment. This position requires strong organizational skills, proficiency in Microsoft Excel, and the ability to handle various clerical duties effectively.
Responsibilities
Manage front desk operations, including greeting visitors and handling inquiries.
Perform clerical duties such as filing, data entry, and maintaining office supplies.
Provide customer support by answering phone calls and addressing client needs.
Utilize phone systems to manage incoming and outgoing communications efficiently.
Assist in proofreading documents to ensure accuracy and professionalism.
Support daily operations by coordinating appointments and clinet records.
Maintain a clean and organized workspace to promote productivity.
Receiving service calls via telephone or email.
Scheduling and dispatching technicans to service requests.
Scheduling re-occuring service requests and regular maintance.
Input payroll into payroll software.
Sending invoices to clients.
Skills
Strong organizational skills with the ability to multitask effectively.
Proficiency in Microsoft Office applications (Word, Excel, Drive).
Experience as a clerk or in a similar office administrative role is preferred.
Excellent proofreading abilities to ensure high-quality documentation.
Familiarity with front desk operations in a service industry.
Strong customer support skills with a focus on client satisfaction.
Ability to operate telephone and other office equipment competently.
The job consists of In-Office, Monday to Friday, 8:00AM - 4:30PM. The ocasional work from home may be acceptable. Office includes company laptop, on site kitchen, free parking.
