Office Administrator
Winnipeg, ManitobaTeamsters Union Local 979 is looking for an Office Administrator to join their team. As part of the administration team, the Office Administrator will be responsible for providing exceptional support to business agents. This role is ideal for a detail-oriented administrative professional, a problem solver, and someone who values building relationships with the members.As the Office Administrator, you will:

  • Answer phone calls, receive emails, faxes, mail, and direct them to the appropriate staff.
  • Greet and assist office visitors.
  • Preparing and distributing mail and sending letters to members and employers.
  • Assist in preparation for office meetings, events, and seminars.
  • Organize and maintain inventory of office supplies.
  • Proofread materials and verify the information within the documents.
  • File documents (electronically and paper).
  • Entering Member\'s dues, either from company, or cash dues.
  • Preparing collective agreements books, updating the calendar with wage increases, and opening and closing letters.
  • Bookkeeping utilizing QuickBooks and Excel; paying bills, month-end close, and pension balancing.
  • Entering information daily into Titan, exporting and importing (through Excel), and preparing invoices for the employers for the following month.
  • Updating the organization\'s website as needed.
  • Perform other administrative duties and responsibilities as assigned.
You and Your Experience:
  • Diploma or certificate from an Administrative Assistant program or previous experience in an administrative role.
  • You are skilled in Microsoft Office 365, especially with Excel.
  • Experience with AR/AP & bookkeeping; experience with QuickBooks is an asset.
  • You have strong interpersonal and customer service skills, including a positive and friendly approach.
  • You have strong attention to detail.
  • You are a collaborative, logical thinker with a strong ability to manage priorities.
  • You have excellent verbal and written communication skills.
  • You understand and appreciate the nature of confidential information.
  • You are organized, take initiative, and adapt quickly to change.
