The Yukon Contractors Association (YCA) is now seeking a qualified candidate for the position of Office Administrator. Reporting to the Operations Manager and Board of Directors, the Administrator provides office support and helps YCA achieve its goals, objectives, and priorities. The Ideal candidate is resourceful and motivated with a strong knowledge of the Yukon\xe2\x80\x99s Construction business community. Is excellent in administration of programs and services, experience in the management of non-profit organizations and an excellent communicator who thrives under pressure. The YCA will consider a mentorship arrangement where candidates who do not meet all the criteria and competencies will be supported by training and mentorship to \xe2\x80\x9cGrow\xe2\x80\x9d into the position. Responsibilities and Accountabilities The Office Administrator works in a fast-paced environment and is responsible for the following areas.
  • Emphasizes to focus to support membership retention growth, and development.
  • Holds responsibilities for all aspects of the organization\xe2\x80\x99s finance, website, Bid Depository, Canadian Construction Associations membership & document/seals, create and organize training opportunities for members and the day-to-day operation of the YCA office.
  • Work in collaboration with the operations manager on key local, regional, territorial, and national partners to advance YCA\xe2\x80\x99s priorities.
  • Work in collaboration with the Bid depository Committee and Administer all aspects of the Bid Depository, will require administrator be present for Bid Depository openings/ submission day(s).
  • Prepares an annual budget and provides monthly financial reports to the board of directors.
  • Adherence to professional accounting and financial practices to ensure organizational compliance.
  • Compliance with transfer payment agreements, funding agreements, contributions, and contracts.
  • Participates in the Operation Manager\xe2\x80\x99s performance evaluation process in collaboration with YCA\xe2\x80\x99s Executive Directors.
  • Degree in Office administration, Organizational Development, Communications, or other equivalent education degree preferred. Equivalent experience in a directly related field may be considered in lieu of the Office Administration degree requirement.
Accountabilities Candidates will be assessed for personal suitability, familiarity with NGO environment, financial management experience, education, and revenue generation. Qualifications Please provide a cover letter and resume with references demonstrating how you meet the following criteria. Education Knowledge and Skills
  • Exceptional computer skills, with proficiency in basic business software (i.e., Microsoft Office 365 \xe2\x80\x93 Word, Excel, power point, etc.) and virtual meeting platforms and accurate meeting minutes of monthly board meetings are considered essential.
  • Excellent financial skills with proficiency in bookkeeping software (i.e., Quickbooks Online)
  • Knowledge of Yukon\xe2\x80\x99s business community, government programming, and knowledge of the First Nation, community organizations and industry are an asset.
  • Exceptional communication skills, including report writing, public speaking, board presentations, letter writing, website content development and media relations.
  • Demonstrates exceptional organizational skills, with the ability to meet tight deadlines and work under little or no supervision, is essential.
Experience
  • Previous Office Administration experience or an Administrator certificate is ideal.
  • Experience in the development and implementation of operational plans, including budget forecasting and financial reporting.
  • Experience in managing an annual budget.
  • Experience with fundraising, membership recruitment
