Job Description


Position for an Office Administrator to play an integral role in the administration of our greenhouse activities. This role will include maintaining the flow of paperwork from the production and shipping teams. Additional duties will include data entry into a new software program, communicating to customers and suppliers, logistics, and general administrative duties and tasks. The ideal candidate will have a passion for the flower and plant industry, a keen interest in growth and development as this role will evolve over time as our company grows. Fluent knowledge of Sage accounting, EDI and Microsoft Office, specifically Excel, is also an asset. Duties: - Office Telephone Reception - Receiving, coding and entering invoices, maintaining electronic database - Pairing with production and shipping documentation and circulating for signatures - Making adjustments as required from circulation - Verifying accuracy of AR entries including weekly spot check on entry data EDI - Liaising with production and delivery drivers for missing paperwork - Yearly hardgoods inventory, during shipping daily and weekly availability to customers Additional Duties: - Handling Certificate of Insurance requests and updates - Preparing delivery vehicles with proper documentation and binders - Managing administrative inventory and supply requests - Managing Health & Safety, IHSA, and field book form supply - Maintaining health & safety record keeping - Preparing administrative notices for customers, suppliers and employees - Maintaining filing system - Assisting estimating staff with rate data entry - General office administration Ideal Candidate: - Sage and Microsoft Office proficiency (advanced) - Independent, self-motivated (quiet and independent work environment) - Interested in growth Growth opportunity (to eventually take over, so experience in any of these areas would be an asset): - Accounts payables - Bank reconciliations - Payroll - Taxation (HST) - Managing insurance coverage requirements (internal: rental equipment blanket, Certificates of insurance requirements, policy change notices. Supplier: ensure COI\xe2\x80\x99s in place for all sub-contractors) - WSIB - Implementing new procedures for record keeping and data tracking Job Type: Full-time Salary: From $18.00 per hour Schedule:

  • 12 hour shift
  • Every Weekend
  • Monday to Friday
