Office Administrator
to keep our operations running smoothly.
What You'll Do
Front Desk & Communication:
Greet visitors, manage calls and general inboxes, route inquiries to the right team.
Scheduling & Coordination:
Maintain calendars, book meetings, arrange travel, coordinate vendor and courier pickups.
Documentation & Data Entry:
Prepare and file purchase orders, packing slips, shipping documents, and certificates; update records in ERP/CRM.
Operations Support:
Assist Production/Quality with work orders, job travelers, H&S paperwork, tool logs, and meeting minutes.
Purchasing & Inventory Admin:
Track office/plant supplies, request quotes, create PRs/POs for approval, follow up on deliveries.
Finance Admin:
Support AP/AR with invoice matching, coding, receipt collection, and basic reconciliations.
HR Admin (light):
Help with onboarding packs, training trackers, timesheet collection, and policy acknowledgments.
General Office Management:
Maintain filing systems (digital and paper), update SOPs/templates, coordinate service providers.
What You Bring
1-3 years of office administration experience (manufacturing or logistics environment is an asset).
Strong MS Office skills (Excel, Word, Outlook); experience with
ERP
(e.g., Sage, NetSuite, SAP) is a plus.
Excellent written and verbal communication; confident with phone and email etiquette.
High attention to detail, accuracy in data entry, and strong time-management skills.
Ability to handle sensitive information with discretion and meet deadlines in a fast-paced setting.
Diploma/Certificate in Business Administration or related field is an asset.
Nice to Have
Basic bookkeeping exposure (invoice coding, PO/GRN matching).
Knowledge of H&S/WHMIS documentation in a plant environment.
Experience with shipping documentation (BOL, commercial invoices, NAFTA/CUSMA forms).

Pay: $56,200.00-$66,600.00 per year
