As an Office Administrator, you will work directly under the direction of the Market Leader and provide support to a team of senior consultants.

  • Welcome and direct visitors, manage the switchboard, and handle visitor sign-in and access cards.
  • Manage and reconcile office access cards including parking for staff and visitors.
  • Coordinate and manage facility requests, including onboarding/offboarding, desk repairs/orders, nameplates, and business cards.
  • Scheduling and coordinating internal and external meetings (rooms, caterers, material orders, agenda management, etc.).
  • Maintain and update the staff phone list.
  • Maintain and update office floor plans.
  • Maintain supply rooms and ensure they are well-stocked.
  • Check and troubleshoot printers and copiers, schedule maintenance where required.
  • Process outgoing mail, review and distribute virtual mail, and handle incoming/outgoing couriers.
  • Handle photocopying and print production tasks.
  • Manage records retrieval requests and monitor records destruction.
  • Maintain an organized filing system.
  • Building Liaison: Act as the onsite building liaison.
  • Provide assistance with audio-visual equipment.
  • Coordinate with vendors for various office needs.
  • Handle cheque deposits.
  • Review, prepare and produce presentations, correspondence and other documents, including improving grammar, punctuation, and clarity.
  • Provide financial support through the preparation and management of internal invoices.

  • Minimum of three (3) years experience in a similar role,
  • Proficiency in MS Office software (Word, Excel and PowerPoint),
  • Punctuality and reliability,
  • Organizational skills, initiative, resourcefulness, and attention to detail,
  • Flexibility and team spirit,
  • Demonstrated organizational skills,
  • Ability to work independently with a variety of people.
