Job Description

The Office Administrator is responsible for providing administrative and organizational support across all departments to ensure smooth daily operations. This role is the first point of contact for customers, visitors, and contractors at the front desk, creating a professional and welcoming environment while maintaining an organized office. The Office Administrator also supports safety compliance, employee on-boarding, company event coordination, and other key administrative functions that keep the business running effectively.

Duties and Responsibilities:



Reception:



Answer, screen, and direct phone calls in a professional and courteous manner. Greet and assist visitors, contractors, and customers, ensuring a positive and professional experience. Manage incoming and outgoing mail, couriers, and deliveries. Maintain a clean, organized, and professional reception and office area. Provide general information and direct inquiries to the appropriate personnel. Support contractor safety orientations and ensure required documentation is completed. Serve as Fire Warden for the main office.

Administrative and Production Support:



Provide administrative and organizational support to all departments as needed. Process and verify employee Time-cards and maintain the company vacation calendar. Assist with logistics coordination (deliveries, shipments, schedules). Coordinate employee uniform program, including ordering, distribution, and maintenance with external provider. Monitor and maintain office supply and company merchandise levels. Support new employee on-boarding to ensure smooth integration and access to resources. Perform filing, document management, and record-keeping duties. Print and distribute weekly management reports. Provide accurate and timely updates to the Production Manager and production staff. Perform additional duties as assigned.

Company Event Coordination and Execution:



Coordinate logistics for company events, including ordering and setting up lunches, catering, and supplies.

Safety and Compliance:



Adhere to Occupational Health and Safety Regulations and APM policies and procedures. Maintain accurate records and documentation relating to ISO compliance and participate in Audits as required.

Knowledge and Skills:



Minimum High School Diploma; post-secondary education in office administration is an asset. Minimum of 2 years' administrative experience is preferred. Knowledge in bookkeeping is an asset. Highly proficient in Microsoft Office Suite especially Word, Excel, and Outlook. Experience in industrial manufacturing, ISO 9001:2015, ERP systems is an asset.

Working Conditions:



Work weeks are Monday to Friday, 8 hours per day, starting at 8:00 AM to 4:30 PM, with a 30-minute unpaid lunch. Significant interaction within the machine shop which requires the use of safety equipment including but not limited to eye safety glasses, hearing protection, and safety footwear. Work involves meetings, data input/reporting and requires sitting at a computer for most of the workday.
Job Type: Full-time

Pay: $20.00-$30.00 per hour

Expected hours: 40 per week
