We are seeking a dedicated and organized Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, supporting human resources functions, and maintaining effective communication across departments. This position requires a proactive individual who can handle multiple responsibilities while providing excellent service to both internal and external stakeholders.
Responsibilities-
Administrative Support
:
Manage reception and monitor A/P & A/R emails
Support principals, sales, and purchasing teams.
Update work order spreadsheets, client files, and invoice numbering.
Assist with invoicing and manage employee time entry and work order data entry.
Maintain Health and Safety manual, organize files, and perform light office cleaning.
Payroll
:
Manage employee files, tracking vacation and professional development.
Prepare bi-weekly payroll using CRA calculator, create pay stubs, and process direct deposits.
Process bi-monthly CRA source deduction remittances and maintain spreadsheets.
Prepare year-end T4s and source deduction summaries.
Bookkeeping
:
Handle A/P and A/R.
Process monthly bank EFTs for accounts payable and payroll, including supplier direct deposit notices.
Manage CRA and Government of Alberta monthly installment payments.
Prepare quarterly GST filings and monthly bank reconciliations.
Compile year-end financials for accountant review.
Requirements-
Experience in office administration, payroll, or bookkeeping.
Strong organizational skills and ability to prioritize.
Proficient in Microsoft Excel, Word, and payroll/bookkeeping tools (CRA tools experience would be an asset).
Clear communication for dealing with employees, clients, and suppliers.
Proactive with strong attention to detail.
Knowledge of Alberta regulatory requirements (e.g., CRA remittances, GST) is a plus.
Fluent in writing, reading, and speaking English.
