We are seeking a highly organized and proactive Office Administrator / Project Coordinator to join our team. This role is vital in ensuring smooth office operations, managing projects, and supporting various administrative functions. Responsibilities



Oversee daily office operations, including front desk management and multi-line phone systems Coordinate and support project activities, ensuring deadlines and objectives are met Manage calendar scheduling for team meetings, appointments, and events Assist in event planning and execution for company functions or client engagements Supervise administrative staff and coordinate training & development initiatives Handle vendor management, including procurement and relationship building Maintain accurate bookkeeping, payroll processing, budgeting, and financial record keeping using QuickBooks or similar software Support human resources functions such as onboarding, employee records management, and compliance documentation Manage filing systems, document organization, and record retention processes Ensure effective communication across departments through phone etiquette and clear correspondence Assist with medical office management tasks if applicable

Requirements



Proven experience in office administration or office management roles with clerical or administrative responsibilities Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Excellent communication skills, both verbal and written Experience with QuickBooks, schedule management software, and vendor relations Supervising experience or team management capabilities preferred Knowledge of human resources procedures, payroll processing, budgeting, and bookkeeping practices Event planning experience is a plus Familiarity with medical office management is advantageous but not required Ability to handle front desk duties professionally and maintain a welcoming environment Demonstrated ability to train staff and support professional development initiatives

Job Types: Full-time, Permanent

Pay: $36,000.00-$40,000.00 per year
