Position Overview:
We're looking for a
full-time Office Administrator / Order Desk & Shipping Associate
to join our Calgary office. This position involves a mix of
customer service, order processing, shipping and receiving, and general office support
.
The ideal candidate will possess strong communication skills and a solid background in clerical and administrative tasks, contributing to the overall success of our operations.
You'll be the go-to person for handling customer orders, coordinating shipments, and helping keep our operations running efficiently.
Key Responsibilities but are not limited to the following:
Take customer orders, quotes, and inquiries by phone and email
Process invoices, billing, some A/R duties
Sales on site and possibly off site
Provide excellent customer service and product information
Track shipments for on time delivery
Prepare and print shipping labels, packing slips, and courier paperwork
Receive incoming shipments, verify packing slips, and restock inventory
Maintain organized order and shipping records
Support the sales team with follow-ups and administrative tasks
Keep the office organized and help with day-to-day administrative duties
What We're Looking For:
Previous experience in
office administration, shipping/receiving, or order desk
roles
Strong front desk experience with excellent phone etiquette for customer interactions.
Exceptional communication skills to facilitate collaboration within the team and with external partners
Strong organizational skills to manage multiple tasks efficiently while maintaining attention to detail
Experience with
InFlow
Inventory system
Competence in filing systems for efficient document management
Ability to work independently, as well as part of a team
Strong attention to detail and organization
Sales experience, great communication and client centric skills
Proficient with computers and basic office software (training provided on our systems)
Ability to multitask, prioritize and problem solve
Knowledge of tools, construction, or industrial products is a plus (but not required)
