Position Overview
We are seeking a motivated Office Administrator to join our team. This role is essential in supporting the administration of mortgages, investments, and day-to-day office operations. You will work closely with management, brokers, lawyers, and investors to ensure smooth operations across all aspects of our business.
This is a full-time, onsite role in a professional yet friendly working environment, offering room for growth in the financial services industry.
Key Responsibilities
Office Administration:
- Manage phone calls, emails, mail, deliveries, and meeting scheduling for management.
- Organize conference rooms, office supplies, and coordinate building maintenance.
- Maintain the company's contact list and assist with event planning and catering.
- Oversee reception area and welcome visitors.
- Manage subscriptions, memberships, licenses, and renewals.
Mortgage Administration:
- Forward mortgage applications and communicate with brokers for documents.
- Prepare commitment letters and coordinate with lawyers for mortgage fundings.
- Update management software for new mortgages, payments, renewals, and payouts.
- Deposit and record payments, reconcile balances, and maintain mortgage files.
- Contact borrowers to collect outstanding payments and follow up on foreclosure processes.
Investment Administration:
- Prepare investment documents and liaise with investors for information.
- Coordinate with lawyers for share registration and WPTC for registered plan investments.
- Update management software for new investments, redemptions, and investor records.
- Distribute quarterly statements and respond to investor inquiries.
Other Duties:
- Assist with website updates, social media, and promotional materials.
- Provide support to the accounting team with filing, data entry and audit preparation.
- Carry out additional tasks as assigned.
Qualifications
- Education: Bachelor's degree or diploma in Finance, Economics, or a related field.
- Experience: 2-3 years of Canadian working experience; prior experience in a financial institution is essential.
- Must be a Canadian Permanent Resident.
- Strong organizational skills with the ability to multi-task effectively.
- Excellent communication skills and attention to detail.
- A positive 'can-do' attitude, willingness to learn, and ability to thrive in a team-oriented environment.
