Job Description

We are seeking a highly organized and proactive Office Administrator to join our team.

The ideal candidate will play a crucial role in maintaining the smooth operation of our office, ensuring that administrative tasks are completed efficiently and effectively. This position requires strong communication skills, attention to detail, and the ability to manage multiple responsibilities in a fast-paced environment.

As we are an immigration office, previous experience in the immigration field is

required

. The ideal candidate should be familiar with immigration documentation, client coordination, and case file management.

Responsibilities



Manage daily office operations, including front desk duties and clerical tasks. Maintain organized filing systems for documents and records, including immigration files. Utilize QuickBooks for financial record-keeping and invoicing. Assist with human resources functions, including onboarding new employees and maintaining personnel files. Communicate effectively with team members, clients, and vendors to ensure seamless operations. Support team management by coordinating schedules, meetings, and office events. Handle incoming calls, emails, and correspondence in a professional manner. Ensure the office environment is welcoming and organized for staff and visitors. Provide administrative support in preparing immigration-related documents and forms.

Requirements



Proven experience in an administrative role or as an office clerk. Prior experience working in an immigration office or with immigration procedures is

required

. Strong organizational skills with the ability to prioritize tasks effectively. Proficient in QuickBooks and other office software applications. Excellent communication skills, both verbal and written. Ability to work independently as well as part of a team. Experience in human resources or team management is a plus. A proactive approach to problem-solving with strong attention to detail.
