Job Overview



The Office Administrator is responsible for working collaboratively with the other Office Administrator to ensure the smooth running of church day-to-day operations. This position will report directly to the Lead Pastor, and will need to have in-person availability from 9:00am-5:00pm, Monday thru Thursday.

1. Duties and Responsibilities



a. Assist other Office Administrator with the smooth running of church day-to-day operations including answering the phone and responding to a variety of in-person inquiries.

b. Input and organize data for donations, as well as process regular bills and invoices through various methods.

c. Review and submit contractor timesheets for payment.

d. Manage contracts, insurance, and payments for outside groups that use our facility.

e. Update volunteer database including police record checks and other required documents.

f. Help to create and maintain organizational systems within the office, both print and digitally.

g. Support the other Office Administrator with congregational communications, PowerPoint slides, funeral services, and other administrative duties as required.

h. Cross-train with fellow Office Administrator and be available to work additional days as required if the other Office Administrator is away.

i. Provide reports, if requested, to present to the Church Council.

j. Proficiently use Microsoft Office 365, especially Outlook, PowerPoint, and Excel.

k. Always maintain confidentially to the highest level.

l. Ability to meet strict deadlines.

m. Acute attention to detail is required.

n. Punctuality and reliability is essential.

o. Strong organizational skills are required. Ability to set priorities, plan and coordinate work activities, work independently and ensure work is completed on time.

p. Act with integrity and be a role model for ethical behavior; be consistent and fair when dealing with others; keep commitments.

q. Adhering to Occupational Health and Safety (OHS) policy and safety standards and taking reasonable care to avoid harm in the workplace.

r. Excellent communication skills both orally and in writing are required.

s. Make a contribution in helping spread the love of Jesus Christ through Victory Lutheran Church. Attend church services at Victory Lutheran Church.

t. Other duties as assigned by supervisor.

2. Health and Safety



a. The Office Administrator is responsible for protecting their own and others' health and safety at the work site; following health and safety rules for the job; using all hazard controls and wearing all required personal protective equipment (PPE); refraining from causing or participating in harassment and violence; reporting workplace injury or health and safety concerns immediately to their supervisor.

b. Follow all workplace injury or illness reporting standards including WCB.

3. Minimum Requirements



Administrative Office Professional Certificate is preferred with minimum 1-2 years experience working in an office (preference given to church office experience). Past experience and proficiency with PowerPoint and Excel specifically, and with Microsoft Office 365 is preferred. Knowledge of basic accounts payable principles and practices is required. Excellent organizational and time management skills will be needed. Clear Criminal Record Check with Vulnerable Sector and Child Intervention Check dated within the past six months is required.

4. Hours of Work



This is a permanent position for 32 hours maximum per week. Expected in-office hours are 9:00am to 5:00pm, Monday thru Thursday. The workday may not exceed eight (8) hours per day. A completed timesheet is required.

Pay: $18.00-$20.00 per hour
