PART TIME - MON, WED, FRI 9AM-5PM FLEXIBILITY TO PICK UP EXTRA SHIFTS AS NEEDED
Job Overview
To provide an efficient administrative and secretarial support to the Management Team and assist the residents on daily basis and to act as the first point of contact to all visitors, family members and residents.
Duties
Welcome visitors to the building and respond to any enquiries
Answering telephone calls and respond to caller's inquiries in a courteous and professional manner. Redirecting calls as appropriate & take clear, concise messages when required
Responding to the emergency call bell from residents
Basic administration work including filing, photocopying, and faxing, scheduling
Handle the tasks of typing correspondence, written communication and reports as required
Sort and distribute mail to the residents
Dealing with cash transactions and keeping the record of all the transactions done by other employees
Deal with payments for any ordered meals, bus trips from the residents
Handle business invoices, enter into spreadsheets and file
Assisting the management team in any required administrative support
Ensure the presentation and tidiness of the Front office area at all times
Comply with all policies and procedures of Legion Manor Victoria, including the Code of Conduct, Confidentiality, Dress Code, and other items listed in the Employee Handbook
Manage bookings for meetings and/or resident meals
Carry out such other duties as may be required by the management
In the absence of the management team from the building, assumes responsibility for the building
Scheduling for all departments and maintaining the records of employee vacation and sick time throughout the year and clearing vacation accounts end of the year
Oversee materials and inventory management
Help to organize monthly departmental staff meetings (Office/Kitchen/Dining Room/Health & Safety)
Other duties as assigned and needed
Skills
Experience working in a senior living environment preferred
Ability to organize and prioritize
Ability to handle multiple tasks at once
Knowledge of Emergency procedures
Knowledge of Microsoft Office programs such as Word, Excel, Publisher
Excellent organizational skills and able to work with little or no supervision
Excellent phone and customer relation skills
Must also be able to pass a criminal record check - employer paid.
