to join our team for a

12-14 month maternity leave coverage

. This is an excellent opportunity for an experienced administrative professional who's organized, proactive, and ready to contribute to a company built on strong values and meaningful relationships.

This position is a full-time role with standard hours of Monday to Friday, 8:30 am - 5:00 pm PST, starting in mid-November 2025. It offers a competitive compensation and benefits plan and the option of a flexible work arrangement after the completion of probation.

The Executive Administrator provides high-level administrative and project management support to both the VP of Professional Services and the CFO. This role plays a key part in coordinating corporate initiatives and ensuring the smooth execution of day-to-day operations. Responsibilities include scheduling and minuting meetings, managing travel arrangements, and leading the planning and delivery of company events and special projects.

Confidentiality is crucial as this person will be present in sensitive meetings, and assistance with fiscal and human resources matters may be required at times. In addition to their experience and skills, they must share the same values and goals as the Senior Leadership Team. THE EXPERIENCE AND QUALIFICATIONS WE ARE LOOKING FOR:



Demonstrated administrative proficiency, including expertise with Word, PowerPoint, and Excel. Confident working independently, with proven experience supporting senior or executive-level leaders. Minimum 5 years of experience providing administrative support to senior leaders or executives.

WHAT YOUR PRIMARY RESPONSIBILITIES WILL BE:



Administration:

Provide executive support to the VP of Professional Services and CFO, including calendar, correspondence, and meeting coordination, board preparation, receipts reconciliation, etc. Assist with board meeting preparation, including reports and presentation materials. Partner with the EA to the CEO on ad hoc projects and cross-department coordination. Coordinate and record meetings, prepare agendas, and track follow-up actions. Create presentations and reports in PowerPoint and other Microsoft 365 tools. Manage and update company-wide OKRs in the tracking software. Schedule and support company Townhalls, including screen sharing and recording distribution. Handle general office administration Manage corporate travel bookings and logistics. Draft and distribute employee communications on behalf of leadership. Project Management: Support company events, parties, and conferences from planning to execution. Conduct research and prepare summaries or recommendations as needed. Track leadership initiatives, OKRs, and special projects to ensure progress and accountability.

Pay: $66,000.00-$74,000.00 per year
