Job Description

We are looking for a motivated, detail-oriented, and compassionate Office Administrator to join our team at Solace Psychology & Wellness. We are looking to hire someone who is dedicated to establishing a long-lasting career within the clinic, with opportunities to move into supervisory/management roles if desired.

Job Summary



As an integral part of our psychology and wellness clinic, you'll play a key role in supporting the daily operations of our practice while helping to create a positive and welcoming environment for our clients. This position requires strong communication skills and the ability to work collaboratively with team members while maintaining a professional office environment. You will also need to uphold the clinic's policies, maintain healthy boundaries, and relay clinic information in a compassionate and empathetic manner.

Responsibilities



Client Scheduling & Coordination: Manage appointments, handle cancellations, and ensure the smooth scheduling process for clients. Customer Service: Answer phone calls, emails, and in-person inquiries with professionalism and kindness. Adhere to clinic procedures and polices in an error-free manner Administrative Support: Assist with filing, data entry, and maintaining client records in compliance with privacy policies. Billing & Insurance: Process payments, handle billing inquiries, and assist with insurance claims. Office Organization: Ensure the clinic runs smoothly by managing supplies, equipment, and keeping the clinic's environment clean and organized. Communication: Maintain communication with the clinical team to ensure seamless coordination of services and updates.

Qualifications:



Proven experience in an administrative or office support role (previous experience in a healthcare or wellness setting is a plus). Strong work ethic in a busy, fast-paced environment with great attention to detail. Strong organizational and time-management skills with the ability to multitask. Excellent prioritization skills. Excellent communication skills, both verbal and written. Proficient in MS Office and scheduling software (experience with electronic health records is a plus). Ability to maintain confidentiality and handle sensitive information. Compassionate, team-oriented, and customer-focused attitude. Ability to uphold clinic policies with clients and staff. Ability to work independently and as part of a team in a fast-paced environment. Ability to accept feedback and grow from it.
