GUNN Consultants ULC is a close-knit team of professionals dedicated to delivering the very best quality engineering consulting services for vertical transportation (aka elevator/escalator) equipment to our clients.

We are looking for a solutions-driven efficiency expert to support our Toronto Office in delivering optimal solutions to our clients. If that sounds like you, read on!



The Role:



The Office Administrator/ Document Coordinator supports the office in running smoothly and embodies effectiveness and efficiency through the utilization and reinforcement of GUNN best practices, reports, database management, templates and tracking systems.

In this role, a typical day at GUNN would include:



Answering phones, routing all communication in and out of the office Coordination and tracking of project documentation and deadlines, schedules Drafting of technical documentation (proposals, contracts, reports, specifications, letters, etc.) Document review / editing - Hint: Must enjoy working with paper! Attendance at meetings/conference calls as required Preparation of minutes of meetings Maintaining job files and company databases (including data entry) Ordering supplies, furniture, etc. Manage the overall maintenance, order and cleaning for office Office vendor management (IT, cleaning, supplies, etc.) Support of Project Management Team and Special Project Assistance as required Many typical office duties as necessary (i.e. travel arrangements, schedule meetings, etc.)

Who You Are:



Bachelor's degree an asset Strong work ethic and efficient time management Positive and self-motivated, known for taking initiative Solution-focused with a proactive mindset Able to work well both as part of a team and independently Highly organized and detail-oriented, with the ability to prioritize requests from multiple departments Excellent communicator in English (both spoken and written) Strong customer service skills Tech-savvy and proficient with Microsoft Office and Microsoft Project Experienced in office settings and eager to learn more Enjoy balancing structured and creative thinking to uncover unique solutions Continuously seeking ways to improve the world around you Renowned for high levels of coordination, prioritization, and organization Strong attention to detail, with the ability to recognize errors and ensure document accuracy and consistency Known for taking initiative and closing cycles of action Deadline-driven and solution-oriented Ready to advocate for adherence to procedures when necessary Naturally curious about processes and how things connect Experience in project coordination involving multiple stakeholders Experience in the construction industry is an asset
