THE OPPORTUNITY




RAM Iron & Metal is looking for an experienced and talented

Office

Administrator

to join our sales Team. The Administrator, under the direction of the Director of Sales and Marketing will serve as a point of contact for customers with queries about their products, orders and deliveries and provide support to our sales team with contract management, purchasing, account and prospect management.

OVERVIEW




The successful candidate must have exceptional communication and organization skills, attention to detail and the ability to multitask. They will play a key part in ensuring that the sales team continues to hit sales targets and, importantly, that all compliance and sales processes are adhered to. They will coordinate the provision of complete administrative support to the Business Development/Sales team.

RESPONSIBILITIES & ACCOUNTABILITES



Full contract management, creation to payment. Input and manage the full cycle of contracts- monthly Contract distribution to customer monthly or daily when required Commodity pricing input into the system monthly. Generate monthly and quarterly sales reports. New customer onboarding into Customer Relationship Management Create and Review purchase order requisition and distribute to internal external stakeholders Follow up on purchase orders to ensure products and services arrive when required. Respond to customer inquiries as appropriate. Perform reception and other administrative duties such as distributing incoming mail, administering the distribution of outgoing mail, prepare letters for managers, post and send memos, notices, and holiday postings, prepare boardroom for meetings, shred papers, maintain and replenish inventory of supplies.

Occasional Duties:

Book business events including all travel arrangements. Purchase baskets and gifts as appropriate for customers Assist in building proposals, tender and trade materials Participating and contributing to special projects as required.

QUALIFICATIONS & EXPERIENCE



High school diploma or GED. An Associate or Bachelor's degree in Business Administration, or similar preferred. Minimum of two (2) to five (5) years of experience in Sales Administration, or a similar role. Proficient in Microsoft word, Excel, Outlook, and Power Point. Proficient write, understand and communicate effectively in English. Effective time management of self & Sales team deliverables. Proficient in creating Reporting documents such as memos, letters, agenda, etc. with minimal direction. Strong project lead: provide direction, monitor execution & follow up with senior colleagues and peers to meet deadlines. Input of Purchasing tickets with a high level of accuracy (entering and processing information).

WORKING ENVIRONMENT




The working environment is busy and fast paced, with regular and ongoing interactions with colleagues, management, and the public at large. There may be frequent interruptions, and from time to time be noisy. The employee must have knowledge of how to manage their own personal safety under these conditions.

PHYSICAL DEMANDS




While performing the responsibilities of the job, the employee is required to be able to lift up to and including 30lbs, sit and/or stand for extended periods of time and reach with arms/hands. Walking, walking up/down stairs, standing, bending, stooping, reaching, twisting, lifting, pushing, pulling, and moving items is occasionally required.
