Office Administrator
Trout River Industries is looking for a highly organized and detail-oriented Office Administrator to join our team on an 18-month maternity contract . This role is integral to ensure the smooth day-to-day operations of our office by managing front-desk reception, administrative support, and accounts payable tasks.
Duties & responsibilities:
• Greet and assist visitors, ensuring professional and friendly interactions
• Answer direct phone calls, page employees, take message and respond to general inquiries
• Maintain and update company databases, records, and filing systems
• Assist with data entry, document preparation, and office correspondence
• Handle incoming and outgoing mail
• Maintain a clean and organized reception area
• Oversee the office equipment and maintenance (e.g. printers, telephone, etc.)
• Coordinate with onsite vendors
• Administer the company coverall program
• Process invoices ensuring compliance with company policies and procedures
• Address vendor inquiries including payment status, account discrepancies, etc.
• Maintain vendor records including contact details and payment terms
• Reconcile vendor statements and address any variances
• Work closely with procurement and other departments to ensure accurate and timely record keeping
• Compile and prepare payment requisitions and vendor remittances
• Assist with expense tracking and financial record-keeping
• Support the finance team with month-end and year-end reporting
• Provide administrative support to the management team and staff
• Support special projects, company initiatives, process improvements, etc.
Required skills:
• Attendance and punctuality are essential for this position
• Extremely positive, great attitude and willingness to help
• Ability to maintain a high level of accuracy and confidentiality
• Excellent organizational, time management, and problem-solving skills o Strong verbal and written communication
• Proficiency in Microsoft Office
• Experience with bookkeeping software (Simply Accounting)

Pay: $18.00-$22.00 per hour
Expected hours: 42.5 per week
